Job Position: Project Coordinator
Purpose: Assist the Project Manager and other project team members with communication, coordination, and administrative tasks required to ensure projects are completed to scope specified in customer contract, within budget, and according to schedule.
Responsibilities
- Attend assigned project meetings as required.
- After attending Project Handoff meeting with Preconstruction and Estimating, review contract in detail. Confirm assumptions and observations made previously and extract relevant details from the contract confirming a detailed scope of each phase of the project.
- According to contract scope and schedule, apply for any necessary permits to ensure all work on site is able to begin on time.
- Prepare project cover sheets for assigned projects, ensuring all customer requirements are clearly listed in a chronological order. Track completion of items; recording date completed, actions taken for completion, responsible party, and submission apparatus utilized.
- Create assigned projects in Procore, uploading applicable drawings and documents into for each site.
- Create assigned jobs in Viewpoint, inspect budgets created by Estimating, fixing any missing cost codes.
- Create job book for field personnel to include drawings, personnel rosters, customer benchmarks, permitting, utility Point of Interconnection (POI) form, Bill of Materials (BOM), and Site Safety Plan.
- After coordination with Procurement, Pre-Construction, and Estimating, order all necessary material for each project using best available information based on material lead times and projects schedules. Interpret material take-off completed on estimates, wire schedules, and drawing sets as needed to create and place purchase orders.
- In coordination with Site Coordinators and Construction Managers, confirm delivery of required project materials against purchase orders. Assist Project Manager with ensuring invoices from vendors are being paid against appropriate jobs and cost codes by KE Accounts Payable.
- Procure proper labeling and signs to ensure completion of all customer requirements per drawings.
- Schedule any necessary rental equipment and issue purchase orders required to complete contract scope and provide efficiencies to field personnel. Ensure cost has been properly captured and is within budget.
- Issue necessary sub-contract purchase orders as directed by Project Manager.
- Schedule any required government or Authority Having Jurisdiction (AHJ) inspections for each site.
- Based off observations from customer quality assurance personnel, create punch list items for field personnel to correct and submit corrective actions back to customer through Procore.
- Create and submit change orders in Viewpoint as directed by the Project Manager for each site. Ensure change orders are being charged appropriately based off Project Manager and customer coordination.
- Per direction from the PM, create documentation for any required customer submittals, and communicate requirements to crew.
- Create necessary closeout submittals in Procore according to site contracts.
- Obtain Certificate of Insurance (COI) and W-9 from all first-time subcontractors. Submit items to KE Accounts Payable.
- Communicate broad initial schedule proposals with subcontractors to initiate planning. As scheduling requirements develop, provide subcontractor with contact information for individual field personnel to provide finite scheduling.
- Assist Project Manager with review of job cost activity, ensuring phase codes are populated appropriately.
Physical Requirements
- Must be able to sit, stand, kneel, stoop, walk, and sit for long periods of time
- Must be capable of working in inclement conditions to include extreme hot and cold temperatures.
- Must be physically capable of manually digging & back-filling holes and trenches.
- Must be physically capable of lifting and carrying up to 25 lbs.
