What are the responsibilities and job description for the Home Care Scheduler (HSC) - Monday - Friday, 34.5 Hours/weekly position at Koger Home Care LLC.?
PART-TIME POSITION: Koger Home Care, LLC is looking to expand our administration team, and office support team. The role of the Home Care Office Scheduler (HSC) is to provide administrative office support and create, coordinate and maintain scheduling for our clients, client appointments, and caregivers.
Home Care Schedulers' Work Schedule:
- Mondays - Fridays, 9:30 AM - 5:00 PM
- Thursdays, 9:30 AM - 4:30 PM
Qualifications:
- A valid SC Driver's License, personal vehicle, and proof of insurance
- High School Diploma and/or GED. Candidate must show proof of High School Diploma and/or GED.
- At least 1 year of scheduling experience, administrative support, or customer service experience.
- Basic computer knowledge including but not limited to MS Office, MS Excel, Emailing, Zoom, Google Docs, and Google Sheets.
- Able to prevent calls from escalating, and intervene when call have escalating as it relates to the schedule.
- Willing to learn or have basic home care/medical terminology.
- Excellent customer service skills, time management skills, organizational, and communication skills.
- Ability to implement written and oral directives.
- Must be self-motivated, and willing to learn.
- Must be COVID-19 vaccinated. The candidate must be willing to undergo an SC SLED Criminal Background Check, TB Skin Screening, and 5-Panel Drug Screening.
Responsibilities/Duties:
Scheduling
- Understands and implements our agency's policies and procedures.
- Creates and maintains staff schedules.
- Enters scheduling data, and creates caregiver schedules.
- Confirm and update caregiver availability including RTO.
- Schedules care visits according care plans and staff availability.
- Document client's wellness and doctor appointments
- Confirm client wellness and doctor's appointments for the month, and schedule caregivers accordingly
- Contact caregivers and clients/families regarding day-to-day and/or weekend scheduling changes.
- Assist the Client Care Coordinator and Agency Director in matching caregivers and clients.
- To monitor scheduling dashboard/resolutions to see if caregivers are clock in/out correctly and working the authorized hours and/or at authorized locations.
- Scheduling new caregiver orientation, meetings, CEU training events and other events.
- Track and log missed visits. All findings must be reported to the Care Coordinator and Agency Director.
- Complete daily scheduling reports and submit reports via email to management.
- Maintains attendance log.
- Maintains back-up plans, and revised as needed.
Inclement Weather/Holiday Closings
- Monitors daily and weekly for any inclement weather.
- Monitors for upcoming holidays closing.
- Contact clients/families to inform them of possible scheduling changes, early dismissal, delays, or cancellation due to upcoming inclement weather. Please document communication with clients and families on the call log.
- Contact clients/families to inform them of agency closing due to holidays or in-service training sessions.
Office Support Task(s)
- Attend weekly huddle meetings, and report scheduling findings during meetings.
- Documenting all incoming and outgoing schedule calls on our electronic communication log.
- Complete monthly scheduling reports, and submit to managment via email.
- Attend mandatory in-service meetings and training as assigned.
- Assist with on-site and off-site training events.
- Provide back-up reception and telephone services, if needed (i.e. professionally greet visitors, answering, screening, and transferring calls.
- Assist with other duties as assigned by the Client Care Coordinator & Agency Director.
