Kongsberg Defense & Aerospace Inc. in Alexandria, VA is seeking a full-time Project Coordinator. The Project Coordinator will support project management tasks related to USG contract execution and missile deliveries. The project coordinator will support an international project team in contract planning and progress monitoring.
PRIMARY ROLES :
- Program Administration - responsible for updating and maintaining project documents including deliverables, project plans, reports, notifications and other communication materials. Responsible for managing the action item lists, project plans, project archives, including correspondence, e-mails, etc.
- Monitoring purchasing status, production status, test, deliveries, etc. both internally and externally.
- Prepare and distribute periodic report according to periodicity requirements.
- Organize, distribute and archive project notes.
- Planning and facilitating project meetings, preparation of meeting minutes.
- Participation in customer meetings, including internationally.
- Assist in coordinating resources, travel, applications, equipment, etc.
- Coordinate in-house activities and arrangements such as meetings with customers, visits and social events.
- Prepare and follow up on Requests for Visit.
- Facilitate communication and cooperation within the project and towards the Customer.
- Delivery support - support planning, coordination and follow-up activities related to deliveries of the contract.
- Make necessary certificates and dispatch papers related to deliveries.
- Establish a Delivery Matrix.
- Ensure deliveries comply with ITAR regulations.
- Coordinate all activities towards outbound logistics.
- Establish shipping documents (Packing List and Customs Invoice).
- Establish (internal and external) transportation plans for classified shipments.
- Monitor the shipping and inform the project and Customer.
- Risk Management - Responsible for supporting the Risk and Opportunity Management process in the project, including maintenance of a Risk Register.
