What You’ll Be Doing:
- Client Engagement: Receive, handle, and convert inquiries for meetings, events, and wedding tours. Follow up with potential clients regularly to meet sales goals and respond to inquiries as needed.
- Event Coordination: Meet with clients to review vendor contracts, track vendor contacts, and ensure a comprehensive and coordinated event day. Design tablescapes and room layouts to accommodate seating configurations.
- Timeline Management: Prepare wedding timelines and manage vendors and guests as a Day-of Coordinator or assistant. Ensure the event runs smoothly by being on-site throughout the event to address any questions or concerns.
- Setup and Breakdown: Set up for events, weddings, and meetings by arranging furniture and rentals according to the desired layout. Break down and clean up after events, ensuring the venue remains pristine.
- Facility Oversight: Oversee the venue to ensure proper maintenance and cleanliness for events. Coordinate with maintenance representatives and outside vendors to address any necessary work.
- Administrative Tasks: Maintain office supplies, update the CRM system with client communication notes, and review the event calendar daily.
- Marketing Collaboration: Work with the Marketing Director on miscellaneous marketing projects such as newsletters, blogs, and brochures. Provide the Social Media representative with pictures of all events set up.
What We Are Looking For:
- Experience: Minimum of 2 years in hospitality/event/venue sales and/or event coordination, preferably with a focus on weddings. Proven track record in high-end customer service and event sales.
- Skills: Excellent communication and organizational skills. Friendly and outgoing disposition with a passion for client satisfaction. Knowledge of Microsoft Office (Word, Excel, PowerPoint) and Google Suite is essential.
- Personal Attributes: Detail-oriented with high standards of performance. Ability to work independently and self-motivate while also collaborating with teams.
- Willingness to Travel: Must be willing to travel for continuing education opportunities.
Job Details:
- Work Hours: Evenings and weekends are required during events and as needed for appointments and client needs; hybrid workplace dependent upon event and tour schedule.
- Compensation: $20 per hour, full-time salary position, 40 hours per week.
