**This is a full time permanent role**
**Hybrid-3 days a week in office**
The Role:
The Legal Secretary will provide comprehensive administrative support to internal and external clients.
Job Duties:
- Coordinate legal practice tasks and projects, managing timelines and resources effectively.
- Handle various administrative functions, including finance/billing-related tasks, time and expense entries, new matter openings, client presentations, meetings, and other projects.
- Ensure a consistent physical presence to support a collaborative work environment, optimizing assignments, cross-training, and peer support for seamless service delivery.
- Prepare complex legal documents and correspondence, file with appropriate courts or agencies, and maintain client materials in document management systems.
- Engage with the Finance Department to manage editing, time entry practices, and the client billing process, including proofreading, applying task codes, handling rate changes, write-offs, and preparing expense reports and audits.
- Manage legal and administrative practices to maintain high service levels that meet client expectations.
- Willingness to work overtime as necessary and demonstrate adaptability and innovation in handling various projects.
Skills:
- Advanced organizational, prioritization, coordination, and teamwork skills.
- Expert proficiency in MS Word, Outlook, Excel, and PowerPoint, including document editing and web-based conferencing tools.
- Comprehensive understanding of timekeeping, expense processing, and legal billing.
- In-depth knowledge of relevant jurisdictional, court, and agency processes and procedures.
- Proficient in document management applications and adept at coordinating with firm-wide departments for effective communication and result delivery.
- Excellent written and oral communication skills with the ability to meet tight deadlines and deliver results while adhering to firm policies and procedures.
Qualifications:
- Bachelor’s degree (preferred).
- Minimum of 4 years of legal secretarial or relevant legal experience (required).
- Litigation experience (required).
