Bilingual Administrative Assistant for OperationsOlive Branch, MSFull-timeSummary/Overview:We are seeking a highly organized and detail-oriented Bilingual Administrative Assistant to provide essential support to our operations team. This role is crucial for ensuring smooth daily operations, managing communication between English and Spanish speakers, and contributing to the overall efficiency of the operations department. The ideal candidate will be a proactive problem-solver with excellent communication skills and advanced proficiency in Excel.Responsibilities/Duties:
- Provide comprehensive administrative support to the operations team, including managing correspondence, preparing reports, and handling data entry.
- Serve as the primary point of contact for Spanish-speaking employees and visitors at the KPower desk on site, translating documents and conversations as needed.
- Translate operational documents, procedures, and training materials from English to Spanish and vice versa.
- Manage and maintain accurate records, both physical and digital, related to operations activities.
- Utilize advanced Excel skills to create spreadsheets, analyze data, generate reports, and track key performance indicators (KPIs). This includes experience with formulas, pivot tables, and data analysis tools.
- Coordinate logistics for meetings, training sessions, and other operational events.
- Manage office supplies and equipment, ensuring adequate stock levels and coordinating maintenance as needed.
- Process timecards ensuring accuracy and timely processing.
- Assist with special projects as assigned by the Operations Manager.
- Maintain a professional and welcoming area for employees.
- Handle confidential information with discretion.
Qualifications/Requirements:
- Fluency in both English and Spanish (written and spoken) is required.
- 3 years of experience in an administrative role, preferably in a manufacturing or operations environment.
- Advanced proficiency in Microsoft Excel is essential. Candidates will be tested on their Excel skills.
- Proficiency in Microsoft Office Suite (Word, PowerPoint, Outlook).
- Excellent communication skills (written and verbal) in both English and Spanish.
- Strong organizational and time-management skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment.
- Attention to detail and accuracy.
- Ability to work independently and as part of a team.
