The Executive Assistant provides high-level, confidential administrative support to the Chief Executive Officer in a fast-paced environment while being open to constant challenges and change. This role involves managing various executive and administrative tasks and ensuring the smooth operation of the CEO’s office.
Position Responsibilities
- Manage the Executive’s calendar, scheduling appointments, arranging meetings, and coordinating travel arrangements.
- Assist the CEO with personal tasks and errands, including managing personal appointments and maintaining schedules.
- Coordinate family related matters as required, ensuring a balance between personal and professional commitments.
- Handle incoming and outgoing communications on behalf of the Executive’s, including emails, phone calls, and written correspondence.
- Plan, organize, and prepare materials for meetings, including agenda’s, presentations, and meeting minutes.
- Conduct research, analyze reports, and prepare presentations.
- Attend required meetings and provide administrative support as needed.
- Manage and maintain confidential information, documents, and records.
- Maintain the highest level of confidentiality and discretion when handling sensitive information and matters.
- Build and maintain relationships with internal and external clients, partners, and colleagues.
- Provide general administrative support, including filing, data entry, expense management, and office supplies.
- Assist with special projects and initiatives assigned by executives.
- Must be able to anticipate challenges, identify solutions, and proactively address issues to support Executive objectives.
- Familiarize yourself with the full suite of Kraft products and services (Leasing, Parts, Service, Sales, etc.) to better support customers and further relationships.
- Lead by example by demonstrating commitment, expertise in processes, and a strong work ethic.
