SUMMARY OF POSITION
The Payroll Specialist is responsible for processing and managing the organizations payroll accurately and on time. This role involves maintaining payroll records, ensuring compliance with local, state, and federal regulations, and addressing employee payroll inquiries. The Payroll Specialist works closely with the finance and HR department to maintain seamless payroll operations.
Position will report in to : SVP, Human Resources
KEY RESPONSIBILITIES :
Payroll Processing
Accurately process payrolls for all employees, including hourly, salaried, and commission-based staff.
Calculate wages, overtime, bonuses, and deductions.
Ensure timely payment of salaries through direct deposit or checks.
Compliance and Reporting
Stay updated on relevant payroll laws and regulations.
Ensure compliance with federal, state, and local tax laws.
Prepare and file payroll tax reports (e.g., 941, W-2, and 1099).
Data Management
Maintain and update employee payroll records in the payroll system.
Verify timekeeping records and resolve discrepancies.
Handle new hires, terminations, and changes to employee records in the system.
Employee Support
Respond to employee payroll inquiries and resolve issues in a timely manner.
Explain paycheck details, tax withholdings, and deductions to employees.
Audits and Reconciliation
Perform regular audits of payroll records for accuracy.
Reconcile payroll accounts and ensure proper documentation.
Systems and Tools
Work with ADP VANTAGE software and timekeeping systems.
Collaborate with IT or vendors to address technical issues related to payroll systems.
QUALIFICATIONS
EDUCATION & EXPERIENCE
Bachelors degree in Accounting, Finance, Human Resources, or related field (preferred).
Proven experience as a Payroll Specialist or in a similar role.
Familiarity with payroll systems (e.g., ADP, or similar platforms).
REQUIRED SKILLS
Strong attention to detail : Critical for ensuring accuracy in payroll calculations and data entry.
Analytical skills : Ability to identify trends and potential errors in payroll data.
Excellent communication skills : To effectively interact with employees, HR, and other departments regarding payroll issues.
Proficiency in payroll software : Familiarity with payroll systems to efficiently manage payroll processes.
Knowledge of payroll regulations : Understanding federal, state, and local payroll laws and compliance requirements.
