Job Title: Office Administrator
Reports to: President
Schedule: Monday to Friday, 8:00 AM – 5:00 PM.
- On-site role in a casual office setting. Remote work not available.
Our client is seeking a versatile and proactive Office Administrator to manage core administrative functions, drive efficiency and support various areas across their office in Farley, IA. Position Overview:
The Office Administrator works closely with leadership in ensuring smooth daily operations around the front office management, customer service, shipping coordination, bookkeeping, and production reporting. We are looking for someone who takes ownership of their responsibilities, and proactively identifies and fills gaps in processes. This position requires someone who is highly organized, and capable of independently managing multiple tasks in a fast-paced environment in a friendly, casual workplace.
The ideal candidate will possess a “can-do” attitude and a desire to contribute to the team, with the ability to take the lead on administrative projects as needed.
Key Responsibilities:
- Office Administration
- Staff and manage front office operations: answer multi-line phones, greet visitors, and handle inquiries.
- Perform general administrative tasks, including document preparation, mail handling, and maintaining office supply inventories.
- Maintain office records and ensure easy access for team members.
- Provide cross-department support, including customer service, production reporting, and purchasing.
- Bookkeeping & Accounting
- Perform bookkeeping tasks, including Accounts Receivable (A/R), Accounts Payable (A/P), and invoicing.
- Manage payroll processes, including benefits enrollment and termination.
- Assist leadership with financial reporting, budgeting, and system improvements.
- Collaborate with the Controller on purchasing, payroll, and other financial activities.
- Purchasing & Inventory Control
- Coordinate purchasing activities, manage inventory control, and develop supplier relationships.
- Track and maintain inventory records, collaborating with production and purchasing teams.
- Create and maintain production reports, daily efficiency metrics, and Bills of Material (BOM).
- Manage and audit the Approved Supplier List.
- Shipping Coordination
- Prepare and manage shipping documents, including bills of lading, invoices, and packing lists.
- Collaborate with the Material Handler.
- Coordinate with truck drivers to schedule and manage shipments.
- Ensure smooth order fulfillment by working closely with vendors, customers, and internal departments.
