Overview
This position provides essential administrative and clerical support to the business office, with a strong focus on invoicing, customer service, and administrative tasks. The ideal candidate is a highly organized and detail-oriented individual with excellent communication and interpersonal skills.

Responsibilities

  • Invoicing & Accounts Receivable:
  • Prepare and process invoices accurately and timely.
  • Track invoice payments and follow up with customers on outstanding balances.
  • Maintain customer accounts and records.
  • Assist with the collection of overdue payments.
  • Customer Support:
  • Respond to customer inquiries via phone, email, and in-person.
  • Resolve customer issues and complaints professionally and efficiently.
  • Provide excellent customer service and build strong customer relationships.
  • Administrative Support:
  • Organize and track vendor invoices and payment schedules.
  • Assist in managing company credit accounts and tracking employee spending.
  • Print and prepare checks for vendor payments.
  • Maintain accurate and organized financial records.
  • Data entry and maintenance of customer information in company databases.
  • File and organize physical and electronic documents.
  • Assist with the implementation and maintenance of new office systems and procedures.
  • Provide general administrative support to the department as required.

Experience

  • High School Diploma or equivalent required; some college preferred.
  • 1-2 years of experience in an office setting, with a focus on customer service or administrative support.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Strong data entry and typing skills.
  • Excellent organizational and time management skills.
  • Detail-oriented with a high degree of accuracy.
  • Excellent communication and interpersonal skills, both written and verbal.
  • Ability to work independently and as part of a team.
  • Experience with accounting software (QuickBooks) is a plus.
  • Experience with CRM software is a plus.
