Overview

Responsibilities
- Invoicing & Accounts Receivable:
- Prepare and process invoices accurately and timely.
- Track invoice payments and follow up with customers on outstanding balances.
- Maintain customer accounts and records.
- Assist with the collection of overdue payments.
- Customer Support:
- Respond to customer inquiries via phone, email, and in-person.
- Resolve customer issues and complaints professionally and efficiently.
- Provide excellent customer service and build strong customer relationships.
- Administrative Support:
- Organize and track vendor invoices and payment schedules.
- Assist in managing company credit accounts and tracking employee spending.
- Print and prepare checks for vendor payments.
- Maintain accurate and organized financial records.
- Data entry and maintenance of customer information in company databases.
- File and organize physical and electronic documents.
- Assist with the implementation and maintenance of new office systems and procedures.
- Provide general administrative support to the department as required.
Experience
- High School Diploma or equivalent required; some college preferred.
- 1-2 years of experience in an office setting, with a focus on customer service or administrative support.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Strong data entry and typing skills.
- Excellent organizational and time management skills.
- Detail-oriented with a high degree of accuracy.
- Excellent communication and interpersonal skills, both written and verbal.
- Ability to work independently and as part of a team.
- Experience with accounting software (QuickBooks) is a plus.
- Experience with CRM software is a plus.
