We have an exciting opportunity for an Administrative Assistant to join our growing team. As the administrative assistant to OPT and T&D will assist with a variety of tasks consisting of Kintone work processes and forms, travel requests, routine website maintenance and assistance in hitting all major deadlines for both teams. They will work in an office setting and be extremely detailed, strong communicators and thrive in an ever-changing environment.
This role is a hybrid role. The selected candidate must be able to come to the office in Irvine, CA on in office days and as needed to carry out necessary functions of the role.
ESSENTIAL DUTIES :
- Self-starter and able to create systems and processes for repetitive tasks
- Support in managing OPT schedules, and time off tracker inclusive of Kintone submissions per team of comp days due
- Track and support the training completion of all OPT and provide scheduled tasks for complete for each individual member.
- Support Director of OPT with all Kintone work processes for each NSO inclusive of coordination of travel for core team and for supporting field teams
- Support invoice troubleshooting
- Assist in syncing shared resource folders and form versioning
- Assist in monthly Wisetail site cleanup and archiving terminated members
- Assist in T&D 1-pagers and communication for Ops teams
- Support in processing per diems and off cycle compensation needs for both teams
- Actively collaborates with other members and uses all resources to accomplish tasks.

- Complies and maintains confidentiality of all company policies and procedures.
- Additional tasks and assignments as needed by the department.

Licenses / Certifications :
Strong Excel experience & Microsoft Office Suite
Education / Experience :
Language Ability :
Ability to communicate in English, Japanese or Spanish. Ability to communicate with co- workers and management staff.

Essential Weight Lifting / Force Exertion Requirements :
PAY RANGE : $22.00 / hr. - $27.00 / hr. DOE
Salary : $22 - $27
