JOB SUMMARY
Kutak Rock LLP seeks a Government Affairs Legal Administrative Assistant in its Scottsdale, Arizona office to join its Litigation/Insurance Regulatory Department. This position provides legal secretarial support to multiple lobbyists and attorneys in a busy practice in both state and federal courts, who are committed to providing high-quality work product. The ideal candidate thrives under tight timelines and can prioritize and transition from one project to another while working in a collegial and collaborative environment.
This full time, hybrid position will have working hours from 8:30 a.m. – 5:00 p.m. Monday - Friday, with some flexibility specific to the department and related work loads.
RESPONSIBILITIES
- Prepare, proofread, and edit pleadings, discovery, briefs, memoranda, and correspondence in draft and final form to incorporate revisions
- Maintain timekeepers’ calendars and monitor docketing deadlines, review documents and correspondence for important deadlines and information
- Prepare scans, copies, printing, and other general office duties
- Perform document comparisons using firm software (Litera)
- Organize and maintain electronic files in the Firm’s document management system (NetDocs)
- Accept responsibility and take directions for work assignments and task
- Keep detailed records of expenditures each month for reporting Quarterly and Annual Submission of Lobbyist Reports with Arizona Secretary of State's Office (AZSOS)
- Annual Principal Reporting with AZSOS
- File various changes in registrations for Principals throughout the year as clients request
- Complete Biennial Registrations of Lobbyists for filing with AZSOS
- Communication with clients to obtain all current information for completion of Biennial Registration of Principals (clients) for filing with AZSOS
- Maintain, report, and track Continuing Legal Education (CLE)
- Arrange travel and handle expense reports for attorneys and lobbyists
- Assist with preparation of travel budgets and approvals for conferences
- Complete registrations and coordinate conference information
- May be assigned to provide Administrative Assistant support to other departmental attorney(s) based upon workload and coverage assignments
- Assist with other tasks as assigned or necessary within the Litigation Department
- Provide occasional coverage to office reception desk in rotation with existing office staff
QUALIFICATIONS: Skills & Abilities
- Excellent organizational skills and attention to detail
- Ability to work well under the pressures of deadlines, prioritize, multitask, and move from one project to another efficiently
- Advanced knowledge of Microsoft Office including the use of charts, Styles and Table of Contents, Word, and Excel
- Experience in editing, combining, and assembling PDF documents
- Clear, concise, and effective written communication skills
- Ability and interest in learning new skills including software and technology
- Excellent interpersonal skills and adept at professional interactions with lawyers, lobbyists, clients, and staff
- Ability to be punctual and dependable
QUALIFICATIONS: Education & Experience
- High School Diploma or equivalent required; associate or bachelor’s degrees preferred
- Interest in government affairs and legislative proceedings
- Preference is given to those with minimum of two years of relevant experience working with legislative or government affairs or supporting lobbyists and familiarity with local, state, and federal court procedures and electronic court filing
Position Information
Status: Non-Exempt
Salary Range: $65,000-85,000 per year, commensurate with education and experience
Work Arrangement: Hybrid 3:2
