Position Summary:
- The Executive Assistant reports directly to the Executive Medical Director and provides consistent services and support to the Camber medical team and disciplines which the Executive Medical Director oversees. Working closely with this executive team, the Executive Assistant will be responsible for handling sensitive and confidential information, will be able to recognize and adjust priorities, and will model the organization’s mission and standards. The Executive Assistant will have a positive, outgoing, and personable demeanor and is able to relate well with diverse populations and age groups.
Education:
- Bachelor’s degree from an accredited college or university
Experience:
- A minimum of five years’ experience supporting executive or senior leadership roles. Experience in a healthcare environment preferred.

Job Duties/Responsibilities:
- Practice conduct that displays respect for all Camber and KVC colleagues and community stakeholders regardless of age, gender identity, sexual orientation, race, religion, ethnicity, or veteran status.
- Assist with coordination of meetings and schedules
- Arrange travel schedule and reservations (airlines, hotels, restaurants, car rentals) for Executive Medical Director and team.
- Gives attention to detail and priorities and manages multiple projects simultaneously and follows through in a timely manner.
- Serve as a project manager as needed.
- Coordinate and maintain conference line/video conferences and meeting space schedules on and off site.
- Develop and update administrative systems as needed to maintain efficiency
- Assist Executive Medical Director with sending/receiving/distribution of faxes and mail items.
- Proofreads and edits outgoing correspondence.
- Draft letters or other correspondence on behalf of Executive Medical Director.
- Maintain various tracking invoices and spreadsheets including receipts and expense reports for Executive Medical Director
- Create, modify, update, track, and distribute identified forms, job requisitions as needed.
- Coordinates, prepare and track board reports, Medical Executive Committee, and Pharmacy and Therapeutics committee
- Attend meetings and record/minutes when asked
- Arrange and maintain purchase records.
- Coordinate postage, mailing, and UPS for the office.
- Complete and monitor IT work orders as requested by Medical Executive Director
