The Fleet Administrator assists in the administration and coordination of the company’s fleet of vehicles.
Key Responsibilities
- Coordinate the day-to-day operations of the company’s fleet, including vehicle allocation, maintenance, and repairs.
- Develop and maintain a comprehensive schedule for routine maintenance and inspections of all fleet vehicles to ensure they remain in optimal condition.
- Maintain accurate records of vehicle maintenance, repairs, inspections, registrations, and other pertinent information.
- Liaise with external vendors, such as repair shops and parts suppliers, to ensure timely and cost-effective maintenance and repairs.
- Stay up to date on federal, state, and local regulations pertaining to fleet operations and ensure compliance with all relevant laws and regulations.
- Monitor fuel usage and implement strategies to optimize fuel efficiency and reduce costs.
- In collaboration with the safety team, coordinate driver training programs to ensure safe and responsible operation of fleet vehicles.
- Assist in developing and managing the fleet budget, including forecasting expenses and identifying cost-saving opportunities.
- Generate regular reports on fleet performance, maintenance costs, fuel consumption, and other key metrics for management review.
Skills, Knowledge and Expertise
- Proven experience in fleet management or a related field.
- Strong organizational and multitasking skills, with the ability to prioritize tasks effectively.
- Excellent communication and interpersonal skills, with the ability to interact effectively with drivers, technicians, vendors, and management.
- Proficiency in computer software applications, including Fleetio & Samsara, Microsoft Excel, and other office productivity tools.
- Knowledge of regulatory requirements governing fleet operations.
- In-depth knowledge of DOT compliance preferred.
- Detail-orientated with a focus on accuracy and efficiency.
- Ability to work independently with minimal supervision.
Requirements:
- High School Diploma or equivalent required; some college preferred
- A minimum of 3-5 years of administrative experience; fleet experience highly desired
- Dependable, self-starter with ability to work independently and as part of a team
