JOB SUMMARY
Facilities Management Specialist II reports directly to the Technical Program/Project Manager III. This position is responsible for assisting the customer service and project goals of the Facilities Management Team. This role will not be responsible for creating systems but will be responsible for maintaining those systems in coordination with Department personnel. This role will be given the responsibility for small projects that typically serve one department or a small group. This role will also be responsible for the movement of the staff between and in our facilities as well as the procurement of furniture for staff needs. This role will also be tasked with supporting space planning and other assigned tasks.
PRIMARY RESPONSIBILITIES
- Triage issues that come through a computerized maintenance management system regarding facility related
work requests.
- Coordinate the purchase, placement, and relocation of furniture.
- Coordinate moves of agency personnel.
- Facilitate administrative space planning.
- As software systems are developed and put in operation, utilize these for the betterment of the Facilities
Management Department and Client. Examples of these are as follows.
- Building Information Modeling (BIM): Use to manage all building data in a consistent way via a single
location for all stages of the facility’s life cycle from planning, programming, design, construction,
maintenance, renovation, and demo/discard.
- Computerized Maintenance Management System (CMMS): Use to triage and organize facilities related
work requests and to improve customer service to tenants and customers.
- Electronic Document Management System (EDMS): Use to manage, maintain, and review digital
documents to make sure they comply with Client standards and guidelines.
- Integrated Workplace Management System (IWMS): Use to improve efficiency, effectiveness, and
integration of the following based on applicable modules procured via Client.
➢ Asset & maintenance management.
➢ Environmental sustainability.
➢ Facilities & space management.
➢ Project management.
➢ Real estate & lease management.
- Project Manage small projects and tasks like lactation rooms, signage, artwork, plants, wall-hangings, etc.
- Monitor and manage the space utilization software and provide data on space utilization.
- Help procure and manage contracts for maintenance of non-union maintained properties.
MINIMUM QUALIFICATIONS
Education and Experience:
- Bachelor’s degree in architecture or interior design with ability to become registered in its degreed field.
- One (1) year of progressive experience working in a Facilities, Architectural, or Interior Design environment.
- Experience working with private owners of Facilities preferred.
Knowledge, Skills and Abilities:
- Proficient with Revit.
