As part of a dynamic team consisting of two Contracts Administrators, you'll collaborate closely to support project managers and estimators.
RESPONSIBILITIES
- Support project managers.
- Manage contract paperwork and ensure accuracy and completion.
- Import and verify job estimates in the ERP system, checking for accuracy and application of revenues and costs.
- Maintain material cost pricing and track costs to jobs and asphalt plants.
- Process payments and invoices for asphalt and oil sales to cash and commercial customers.
- Record and reconcile asphalt plant purchases.
- Manage retainage, process subcontractor payments, and submit retainage as required.
- Submit partial pay applications.
- Handle administrative tasks such as insurance certificates and lien waivers.
- Organize and maintain accurate records using Viewpoint software.
- Reconcile financial data monthly and annually.
- Assist with job closures and final payments.
- Cover receptionist duties and answer incoming calls.
- Respond to internal and external information requests promptly.
- Cross-train in other departments as needed.
- Other duties as assigned.
SCHEDULE
- Monday to Friday work schedule from 8:00am to 5:00pm. No remote or hybrid schedule.
EMPLOYMENT REQUIREMENTS
- Be 18 years of age or older.
- Pass pre-employment drug test.
- Valid driver’s license with insurable driving record.
