Position Overview
We are seeking a Client Care Coordinator to serve as the primary point of contact for our clients, ensuring seamless communication, support, and administrative assistance. This role will focus on client support, billing coordination, and marketing initiatives, helping providers navigate the complexities of insurance and business operations while enhancing our brand presence. This role is essential for maintaining high standards of customer care within our practice while supporting the overall efficiency of our operations.
Key Responsibilities
Client Support & Coordination
- Serve as the primary point of contact for clients, addressing inquiries and concerns with professionalism and empathy.
- Schedule and confirm client appointments, ensuring optimal use of the office calendar.
- Maintain accurate client records and manage confidential information in compliance with HIPAA regulations.
- Educate clients on office policies, procedures, and available services to enhance their experience.
Billing & Administrative Support
- Assist with claim submissions, follow-ups, and resolving denials or discrepancies.
- Ensure timely and accurate processing of client billing inquiries and payment reconciliation.
- Coordinate with insurance companies as needed to clarify and resolve billing issues.
- Maintain client records, contracts, and documentation in compliance with industry standards.
- Provide administrative support, including answering phones, managing correspondence, and performing data entry tasks.
Marketing & Business Development
- Support L&N Business Solutions’ marketing efforts by managing social media posts, creating email campaigns, and assisting with branding initiatives.
- Help develop educational content (blogs, newsletters, webinars) to inform mental health providers about billing best practices.
- Engage in community outreach and networking to promote our services.
- Assist in organizing and coordinating webinars, workshops, and client engagement events.
Qualifications & Skills
- Experience in customer service, administrative support, or medical billing (mental health billing experience preferred).
- Strong communication and interpersonal skills, with a client-first approach.
- Familiarity with insurance billing processes, EHR systems, and credentialing workflows is a plus.
- Ability to multitask and stay organized in a fast-paced environment.
- Proficiency in Microsoft Office, Google Suite, and marketing tools (Canva, Mailchimp, or similar platforms).
- Experience in social media management and content creation is a bonus.
