POSITION : Data Quality Supervisor

LOCATION : North Hollywood, CA

SUMMARY OF RESPONSIBILITIES

As part of the Compliance & Data (C&D) Department, the Data Quality Supervisor is responsible for overseeing the Web Help Desk (WHD), ticket system for the Quality Assurance team. The Data Quality Supervisor will provide oversight, review, and compile reports to ensure the accuracy and timely processing of internal requests to update client information in HMIS. The Data Quality Supervisor is expected to have a high level of expertise in HMIS and is required to maintain the highest level of accuracy.

SPECIFIC DUTIES

Data Quality

  • Function as QA lead for ticketing system ensuring the timely processing of internal HMIS requests and assist the QA manager with projecting lead times for C&D reports and funder audits.
  • Oversee and track WHD ticket requests for participant updates and changes in HMIS system.
  • Monitor enrollment & exit submissions, pending system entries, follow-up, and completions to maintain data entry productivity, tracking, and prioritization.
  • Maintain client information through data entry into program database / HMIS system to ensure accuracy for monthly, quarterly and annual contract reports, including assisting with enrolling and exiting participants from HMIS.
  • Ensure integrity of data, verifying information regarding data quality and data completeness.
  • Assist the Quality Assurance Manager in the research and resolution of HMIS errors identified through internal QA audits. Following organizational procedures, notify team members when resolution steps have been executed.
  • Assist with program data reconciliation on an ongoing basis.
  • Maintain up-to-date knowledge on programs, contract eligibility requirements, and eligible services along with system input rules to provide accurate data input and verifications.
  • Perform routine internal system audits on data entry activities to ensure integrity of data. Provide reports, research, analysis, and recommendations to QA Manager.
  • Provide summaries of data quality discrepancies to QA Associates and QA Manager for internal audit reports.
  • Coordinate and provide regular technical assistance / trainings to staff to ensure compliance with data requirements.

Supervision

  • Provide direct supervision to the data quality personnel, including recruitment, onboarding, training, timesheet approval, performance evaluations, promotions, and discipline and / or termination.
  • Ensure data quality staff are trained on the data collection systems – HMIS and any internal data tracking systems necessary to performing their duties
  • Clear communication of departmental goals and outcome measurements.
  • Additional Duties

  • Attend agency and community meetings as directed by supervisor.
  • Additional tasks, projects and responsibilities as assigned by supervisor.
  • MINIMUM QUALIFICATONS

    KNOWLEDGE AND SKILLS :

  • Experience in HMIS required
  • Must be able to perform routine electronic data entry.
  • Skilled in database management and record keeping.
  • Must be able to successfully manage multiple priorities and projects within tight department metrics and deadlines, as well as ability to manage conflicting priorities and projects.
  • Proficient in Microsoft Programs (Word, Excel, PowerPoint)
  • Should possess very strong attention to detail, solid organizational skills, with pride in accuracy and quality of work; as well as highly collaborative within a solid team environment.
  • OTHER

  • Maintain and execute confidential information according to HIPAA standards
  • Obtain and maintain CPR / First Aid Certification
  • Ability to pass post-offer Tuberculosis (TB) clearances
  • Travel is a regular duty for this position and is required 5% of the time
  • Use of a personal vehicle to travel between worksites and other locations is required
  • Must have and maintain a valid California Driver’s License and auto insurance in good standing
  • Ability to work a 9 / 80 work schedule
  • EDUCATION AND EXPERIENCE

  • Position requires a minimum of a Bachelors Degree or four years of experience in social services.
