Role Outcome
The Patient Experience Coordinator is responsible for achieving key company goals:
- Inquiry-to-consult conversion rates.
- Bookings and revenue.
- Rebooking rates.
- High patient satisfaction and positive patient reviews.

Duties/Responsibilities:
Deliver Exceptional Service: achieve a 95% patient satisfaction score by providing a premium, personalized & caring experience for every client; including but not limited to:
- Provide exceptional customer service and hospitality during all patient interactions, including check-in, check-out, and phone inquiries.
- Address patient complaints and concerns promptly and professionally.
Convert Interested Patients: respond to phone & web inquiries with urgency & professionalism; get prospective patients scheduled for consults/treatments to meet their needs
Drive Sales Success: consistently meet and exceed individual targets for conversion rates and sales targets for both new & existing patients; including but is not limited to:
- Effectively educating treatments to patients by understanding their needs and requirements and based on provider treatment plan.
- Present quotes & treatment plans: recommend additional products and services to enhance client results; follow-up to ensure completion.
- Facilitate Financing Options: Assist clients with financing solutions like Care Credit, ensuring a seamless and transparent transaction process.
- Sourcing new sales opportunities through outbound calls, texts, and emails.
- Create excitement for membership plan and convert new patients to adding Glam Fam
Oversee Front Desk Operations:
- Manage patient check-ins, check-outs, and scheduling with efficiency and professionalism, upholding our brand standards.
- Support retention goals through rebooking and proactive communication.
- Manage and optimize the patient schedule to ensure the provider utilization and room availability.
Support Clinical Operations: as needed, assist clinicians by preparing treatment rooms, organizing schedules, and helping with operational tasks; ensure compliance with OSHA, HIPAA, and company policies.
Participate in Team Collaboration: engage in daily/weekly huddles to align on sales strategies and participate in regular check-ins with management to review KPIs and performance goals.
Required Skills/Abilities:
- Self-motivated, detail-oriented, and able to work both independently and as part of a cohesive team while maintaining our high standards of professionalism.
- Excellent communication and interpersonal skills.
- Strong organizational and multitasking abilities in a fast-paced environment.
- Ability to quickly & efficiently navigate various software systems
- Available to work weekends and evenings to meet client and clinic needs.
Education & Experience:
- High school diploma required.
- 2 years of sales experience preferred but not required.
Physical Requirements:
- Must be able to lift up to 15 pounds at a time.
- Prolonged periods of sitting at a desk, working on a computer, or standing for up to 8 hours.
Travel Required: One location.
