Job Summary: The Executive Assistant will be a vital part of our team, responsible for managing administrative tasks, supporting client relations, and ensuring the efficiency of our operations. The ideal candidate will be proactive, detail-oriented, and possess strong organizational skills, with the ability to handle sensitive information with discretion.
Key Responsibilities:
- Manage Executive Calendars: Schedule meetings, appointments, and travel arrangements for the partners
- Correspondence: Prepare and edit correspondence, reports, presentations, and other documents as needed.
- Communication: Handle incoming and outgoing communications on behalf of the partners, including emails, phone calls, and mail.
- File Management: Organize and maintain electronic and physical filing systems.
- Event Coordination: Plan and coordinate company events, meetings, and conferences.
- Financial Document Preparation: Assist with the preparation of financial documents and reports.
- Research: Conduct research and compile information for various projects.
- Client Service: Monitor and respond to inquiries, providing excellent customer service to clients and partners.
- Special Projects: Perform other administrative tasks and special projects as assigned.
- Client Retention Reporting: Generate reports on client retention metrics to help improve client satisfaction and loyalty.
- Estate/Tax Connection Tracking: Develop and track estate and tax planning connections for clients to ensure comprehensive financial planning.
- Client Experience Reporting: Report on client experience and feedback to continuously enhance service delivery.
- Global Task List Management: Oversee and manage the global task list to ensure all tasks are completed efficiently and on time.
Qualifications:
- Proven experience as an Executive Assistant or in a similar administrative role.
- Excellent organizational and time-management skills.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to handle confidential information with discretion.
- Detail-oriented and able to manage multiple priorities.
- Professional demeanor and positive attitude.
- Strong problem-solving skills and the ability to work independently.
- Bachelor's degree in Business Administration, Finance, or a related field is preferred.
Job Type: Full-time
Pay: $45,000.00 - $56,000.00 per year
