Position Summary:
An Accounts Payable Specialist is responsible for managing and processing the organization’s accounts payable transactions. This role ensures that invoices are accurately reviewed, approved, and paid in a timely manner while maintaining compliance with internal controls and company policies.
Key Responsibilities:
Invoice Management:
Review, verify, and process invoices and payment requests.
Ensure invoices are properly coded and matched to purchase orders and receipts.
Resolve discrepancies related to invoices, purchase orders, and vendor statements.
Payment Processing:
Prepare and process electronic transfers, ACH, and check payments.
Maintain accurate and timely payment schedules to avoid late fees or penalties.
Ensure proper authorization and documentation for payments.
Vendor Relations:
Maintain relationships with vendors and respond to inquiries regarding accounts and payment statuses.
Reconcile vendor statements and resolve outstanding issues.
Update and maintain vendor records, including W-9s and tax documentation.
Record Keeping:
Maintain accurate and organized accounts payable files and documentation for audit purposes.
Assist in month-end and year-end closing processes, including AP accruals and reconciliations.
Prepare and file 1099 forms as required.
Process Improvement:
Identify opportunities for improving accounts payable processes and implementing best practices.
Assist in implementing new software, tools, or automation initiatives.
Requirements
Qualifications:
Education:
High school diploma or equivalent required.
Associate’s or Bachelor’s degree in Accounting, Finance, or a related field preferred.
Experience:
2 years of experience in accounts payable or general accounting.
Experience with accounting software and enterprise resource planning (ERP) systems (e.g., SAP, Oracle, QuickBooks).
Skills:
Strong attention to detail and organizational skills.
Excellent time management and ability to meet deadlines.
Proficient in Microsoft Excel and other Microsoft Office applications.
Strong problem-solving and analytical skills.
Salary : $55,000 - $60,000
