What are the responsibilities and job description for the Office Assistant position at Lake of the Woods Resort?
Summary:
The Office Assistant works under the Office Manager to insure the smooth day-to-day functioning of the Lake of the Woods Resort. Some tasks require cooperatively working with others in other departments in which the individuals in the other department may have different points of view.
The individual in this position is required to balance multiple (and often competing) priorities. This position requires that the individual be able to absorb and retain information on a fairly rapid basis. It is a “jack-of-all-trades” type of position and the individual must like being challenged and enjoy learning new things on an almost daily basis.
Essential Duties and Responsibilities:
General
· Neatly and accurately prepares all information, letters and documents, as needed.
· Learn and use appropriate computer software programs such as QuickBooks, Outlook, email, and Microsoft Office (Word, Excel and Publisher)
· Provide outstanding customer service.
· Answer telephone calls in a professional friendly manner and refer them to appropriate staff member if needed.
· Greet visitors in a polite, professional manner and help them promptly.
· Promptly process and respond to all voice mail and email messages.
· Be able to answer questions about the LOW Resort and Campgrounds.
· Assist with Reservations, POS, and other front-counter items.
· As directed by the General Manager and Office Manager, act as staff liaison to Guests and other staff persons, which includes, but is not limited to scheduling meetings and sending out meeting notices and reminders; preparing meeting materials as needed.
Administrative
· Provide general secretarial support to the General Manage and Office Manager.
· In cooperation with the Office Manager, oversee general office operations.
· Open and distribute mail in the absence of Office Manager.
· Assist with preparation of annual reports for LOW and Campgrounds.
· Assist with Prepare monthly financial reports and staff reports for the Owner and General Manager.
· Be knowledgeable of LOW Policies and Procedures.
· Keep General Manager and Office Manager apprised of all operations and issues.
· Administer LOW programs as directed by General Manager and Office Manager.
Typical Physical/Mental Requirements:
While performing the duties of this job, the employee is regularly required to, stand, sit; talk, hear, and use hands and fingers to operate a computer and telephone keyboard. Specific vision abilities required by this job include close vision requirements due to computer work. Light to moderate lifting is required. Ability to manage under stress.
