Responsibilities:
- Patient Reception and Customer Service:
- Greet patients warmly as they arrive at the clinic, providing a welcoming and professional atmosphere.
- Assist patients with scheduling appointments, rescheduling, and cancellations, ensuring accurate and efficient appointment coordination.
- Answer phone calls promptly and courteously, addressing patient inquiries, scheduling requests, and general information about the clinic's services.
- Administrative Support:
- Maintain patient records and electronic health records (EHR) accurately and confidentially.
- Verify patient insurance information, collect co-payments, and process payments using the clinic's billing software.
- Assist with insurance claims processing, including verifying coverage, submitting claims, and following up on outstanding balances.
- Coordinate patient referrals and requests for medical records with other healthcare providers as needed.
- Office Management:
- Keep the reception area clean, organized, and well-stocked with necessary supplies, such as patient forms, brochures, and educational materials.
- Manage incoming and outgoing mail, packages, and deliveries, distributing them to the appropriate staff members.
- Assist with basic office tasks, such as faxing, scanning, and filing documents, to support the efficient operation of the clinic.
- Collaborate with other administrative staff and healthcare providers to ensure seamless communication and workflow.
- Patient Communication and Follow-Up:
- Communicate with patients via phone, email, and in-person to confirm appointments, provide reminders, and follow up on missed appointments or treatment plans.
- Respond to patient inquiries and concerns promptly and professionally, escalating issues to management or healthcare providers as needed.
- Maintain confidentiality and discretion when handling sensitive patient information and discussions.
- Continuous Improvement:
- Identify opportunities for process improvement and efficiency within the front desk operations, suggesting and implementing solutions to enhance the patient experience.
- Participate in staff meetings, training sessions, and professional development activities to stay updated on clinic policies, procedures, and industry trends.

Qualifications:
- High school diploma or equivalent; additional education or training in healthcare administration is a plus.
- Previous experience in a customer service or administrative role, preferably in a healthcare setting.
- Excellent communication skills, both verbal and written, with a professional and courteous demeanor.
- Strong organizational skills and attention to detail, with the ability to multitask and prioritize tasks effectively in a fast-paced environment.
- Proficiency in basic computer skills, including Microsoft Office Suite and electronic scheduling/billing software.
- Knowledge of medical terminology and insurance billing processes is advantageous but not required.
