Provides support to the Public Affairs division, including Public Relations and Lake Regional Health Foundation. This individual should have solid clerical and time management skills, with proven experience in customer relations. The Community Outreach Assistant should be a hardworking and highly motivated self-starter with an aptitude for organization, prioritization and communication.
This position reports to the Vice President of Public Affairs.

The Community Outreach Assistant should be a hardworking and highly motivated self-starter with an aptitude for organization, prioritization and communication.

Responsibilities
Public Relations
- Performs clerical support, data entry, and record-keeping. Maintains policy and procedure manuals; schedules and organizes departmental meetings, prepares agendas and distributes minutes; tracks expenses; maintains staffing and payroll software entries; tracks education; manages mileage and education-related requests and makes travel arrangements.
- Tracks community outreach opportunities; maintains calendar of community programs presented by staff and community events attended by employees. Tracks participation for Community Benefit reporting.
- Provides scheduling, communication and clerical assistance for various support groups provided by LRHS.
- Serves as the contact for community members seeking information or signing up for Public Relations-associated events. Maintains web-based Community Calendar, manages online registrations and follow up surveys, and reports survey data.
- Supports programming for community events, including assisting with handouts and collaterals, formatting presentations and providing AV assistance.
- Promotes customer satisfaction through appropriate communication with internal and external customers, both in person and via phone and email conversations.
- Maintains conference room schedules and supplies.
- Assist Foundation with donor relations including preparing donor listings for the annual report, mailings and donor stewardship activities.
- Track donor wall plaques and any donors that need to added or removed on a quarterly basis.
- Oversee courtyard brick program including ordering the bricks and placement.
- Process HERO Employee Giving applications and assemble sign-up giveaway bags for new members. Including updating HERO listings and recording in donor software.
- Professional communication skills with the ability to relate well with customers
- Self-motivated with a learning attitude
- Ability to work as a team to complete deadline-driven projects
- Proficient with Microsoft Word, Excel and PowerPoint
- High School Diploma or GED required.
- Strong word processing, spreadsheets, and database capabilities.
- Strong writing skills, financial record management, prioritization.
- Ability to work in public and strong telephone skills.
- Annual influenza vaccine required.
