JOB DESCRIPTION : Business Office Deputy Treasurer
JOB REQUIREMENTS : Bachelor’s Degree or higher preferred, detailed oriented, accuracy, and
proficiency a must, must maintain a working knowledge of Indiana State Board of Account accounting
requirements and be proficient in day-to-day school operation.
JOB GOAL : As a member of the Business Office Team he / she will articulate the goals and objectives set
forth by the school community as outlined in the districts strategic plan and provide visionary
leadership necessary to attain these goals.
REPORTS TO : Business Manager
DUTIES AND RESPONSIBILITIES :
1. Supervises the proofing and processing of bi-weekly payroll in the district financial accounting system.
2. Coordinates payroll and benefit direct deposit files.
3. Calculate contractual employee wages, sick days, and personal days for employees that are hired after
the beginning of the school year.
4. Print checks for distribution after School Board approval and prepare for mailing.
5. Assist in maintaining files on each payroll deduction offered by the school corporation and make
any payments due after each payday or monthly.
6. Responsible for creation and maintenance of employee personnel files.
7. Coordinates verification of employment, years of experience, and education level for
certified staff.
8. Maintain necessary records for the insurance billing and deductions for all employees,
including health, dental and life insurance.
9. Calculate all payroll deductions for health, dental, vision, long-term disability, and life
insurance companies from billings issued by the various vendors.
10. Assist in managing 403b requirements and reporting.
11. Maintain files for all employees who file unemployment with the Department of Workforce
Development.
12. Coordinate with substitute teacher contractor.
13. Prepare salary schedules for all classifications of employees.
14. Maintain proper salary information on employees in the financial software system for hourly and
contract salary staff.
15. Serve as one of the representatives of the District on the Employee Benefit Committee.
16. Maintain AESOP / Frontline Absence system.
17. Responsible for background checks on employees and volunteers.
18. Responsible for FMLA reporting and forms.
19. Coordinates new employee onboarding and orientation.
20. Acts as a liaison between staff and third-party health benefits administrator in addressing
eligibility, enrollment, coverage, and payment issues.
17. Coordinates the district’s annual benefit open enrollment process.
18. Edits certified and non-certified employee handbooks when necessary.
19. Assists food service, transportation, and maintenance vendors in keeping employee rosters up-
to-date in Human Resources system.
20. Responsible for maintenance of employee benefits online information portal.
21. Responsible for central administration ordering and inventory monitoring.
22. Responsible for completing E-Verify for I-9 requirement.
23. Maintains the district Certified Employee (CE) and Non-Certified Employee (NE) information files
with the Indiana Department of Education Data Exchange.
24. Coordinates the training of other district stakeholders in the use of Human Resources and
Financial System software.
25. Assist in grant management and reporting.
26. Assist Business Manager with end-of-year processes.
27. Assist Business Manager with data fact gathering for annual corporation budget.
28. Assist building level end users with financial questions.
29. Assist in administration of health, dental, vision, life, and long-term disability insurance programs.
25. Assist with corporate billing.
26. Serve as back up to Corporation Treasurer.
27. Exhibit initiative, creativity, and good judgment in making decisions and reflect a positive attitude
and work ethic in representing Lake Ridge Schools.
28. Exercise good judgment in handling confidential information and correspondence.
29. Perform such other duties assigned by the Treasurer, Business Manager, Assistant Superintendent
or Superintendent.
TERMS OF EMPLOYMENT : Twelve Months. Salary to be determined annually by the Board of School of
Trustees and shall be effective July 1 of each calendar year. This is an exempt position.
EVALUATION : Performance on job requirements will be evaluated annually by the Business Manager in
accordance with Board Policy.
