PURPOSE : The Building Secretary "B" supports the efficient operation of the school office by providing administrative assistance and ensuring a welcoming environment for students, staff, and visitors. This role contributes to the overall success of the school through effective communication, organization, and attention to detail.

PERFORMANCE RESPONSIBILITIES :

  • Open and prepare the office for daily operations.
  • Greet visitors courteously, determine their needs, and direct or escort them to the appropriate person.
  • Answer, place, and route phone calls by : Providing information based on school policies; taking messages for staff; and paging authorized personnel as needed.
  • Process all incoming and outgoing mail and deliveries.
  • Manage student attendance reporting, including : Confirming absences with parents; Handling truancy notifications; Processing discipline reports.
  • Prepare various materials, including LIM Awards and student recognition items.
  • Gather, organize, and compile data for State, District, and building reports, including ADA and free lunch reports.
  • Maintain an organized filing system.
  • Assist students visiting the office by : Issuing passes; Supervising students sent by teachers; Addressing medical needs when the health clerk is unavailable.
  • Serve as a backup to the school Health Coordinator by : Dispensing and monitoring student medication per District Medication Policy, including communication with parents, physicians, and teachers; Administering first aid according to established procedures; Documenting all parent and physician contacts as required.
  • Conduct annual vision and hearing screenings and handle related clerical tasks, including documentation, reporting, and referrals.
  • Assist and / or substitute for the Building Secretary A as needed.
  • Perform other duties as assigned by the direct supervisor.

KNOWLEDGE, SKILLS, AND ABILITIES :

  • Knowledge of office procedures, school policies, and best practices for maintaining an organized and efficient office.
  • Knowledge of student attendance reporting, truancy notifications, discipline documentation, and data reporting for State, District, and building-level requirements.
  • Knowledge of visitor management, phone communication, mail processing, and confidentiality protocols.
  • Skill in using office equipment, including computers, copiers, fax machines, and multi-line phone systems.
  • Skill in using software applications for word processing, data entry, and record-keeping.
  • Skill in written and verbal communication, including professional and courteous interaction with students, staff, and visitors.
  • Skill in maintaining confidentiality and handling sensitive information appropriately.
  • Ability to provide professional and courteous assistance to visitors, staff, and students.
  • Ability to manage phone calls efficiently, including providing accurate information, taking messages, and routing calls.
  • Ability to work independently, take initiative, and adapt to changing priorities.
  • Ability to maintain organized filing systems and manage confidential records.
  • Ability to remain calm and composed in emergencies or high-pressure situations.
  • Ability to collaborate effectively with administrators, staff, students, and parents.
  • TERMS OF EMPLOYMENT : 10-month / 8hrs (192 days). Salary to be established by the Board of Education.

    EVALUATION : Performance of this position will be evaluated annually by the Building Principal in accordance with the provisions of the Board policy on evaluation of support services personnel.

Physical capability to effectively use and operate various items of office related equipment, such as, but not limited to, a personal computer, calculator, copier, and fax machine. The position requires the individual to meet multiple demands from several people and interact with the public and other staff.

    In the work environment, the employee is regularly exposed to video display and regularly works in office environmental conditions. The noise level in the work environment is usually moderately quiet. Work is generally performed indoors, with the employee occasionally exposed to outdoor weather conditions.

  • Starting Salary : $16.50 / Hour
