PURPOSE : The Building Secretary "B" supports the efficient operation of the school office by providing administrative assistance and ensuring a welcoming environment for students, staff, and visitors. This role contributes to the overall success of the school through effective communication, organization, and attention to detail.
PERFORMANCE RESPONSIBILITIES :
- Open and prepare the office for daily operations.
- Greet visitors courteously, determine their needs, and direct or escort them to the appropriate person.
- Answer, place, and route phone calls by : Providing information based on school policies; taking messages for staff; and paging authorized personnel as needed.
- Process all incoming and outgoing mail and deliveries.
- Manage student attendance reporting, including : Confirming absences with parents; Handling truancy notifications; Processing discipline reports.
- Prepare various materials, including LIM Awards and student recognition items.
- Gather, organize, and compile data for State, District, and building reports, including ADA and free lunch reports.
- Maintain an organized filing system.
- Assist students visiting the office by : Issuing passes; Supervising students sent by teachers; Addressing medical needs when the health clerk is unavailable.
- Serve as a backup to the school Health Coordinator by : Dispensing and monitoring student medication per District Medication Policy, including communication with parents, physicians, and teachers; Administering first aid according to established procedures; Documenting all parent and physician contacts as required.
- Conduct annual vision and hearing screenings and handle related clerical tasks, including documentation, reporting, and referrals.
- Assist and / or substitute for the Building Secretary A as needed.
- Perform other duties as assigned by the direct supervisor.
KNOWLEDGE, SKILLS, AND ABILITIES :
TERMS OF EMPLOYMENT : 10-month / 8hrs (192 days). Salary to be established by the Board of Education.
EVALUATION : Performance of this position will be evaluated annually by the Building Principal in accordance with the provisions of the Board policy on evaluation of support services personnel.
