Position Summary


The GME Operations Administrator coordinates and supports graduate medical education office functions and is responsible for a variety of daily, monthly, and annual activities within the department. This job plans, implements, and coordinates processes for a variety of diverse functions which include procurement, reimbursements, physician payments, and management of student processes. This job maintains data, prepares reports, and provides budgetary information related to areas of responsibility. This job's responsibilities also include assisting in the administration of GME programs and will interact with personnel both inside and outside the institution.

    • Standard Work: GME Operations Administrator
    • GME Program Administration: Will be responsible for managing all LRH student administrative activities, including but not limited to managing education experiences for observers, medical students, advanced practice providers, and all other departmental needs as requested. Additionally, as administrator, this person maintains and updates the Visitor Student Learning Opportunities (VSLO) and manages student assignments for the department. Which includes: Organizing and coordinating student rotations, including but not limited to responding to inquiries, receiving applications, arranging schedules, corresponding with students, orienting students, informing faculty and residents of student rotations, troubleshooting logistical problems, organizing evaluation forms, and maintaining files. Serves as department liaison for Graduate Medical Education, which includes administrative supervision and support to residents/fellows, program leadership, faculty, GME office, coordinate and update letters of agreement, track pertinent program and alumni data and ensure accreditation action plans are tracked at the program level; oversee planning and organizational needs for program events.
    • GME Operations: Is accountable for all facets of the physician compensations plan and assigned operations necessary to assure smooth operations of the GME office. This includes but is not limited to the following: Process physician timesheets and check them for accuracy; receive and respond to physician payment inquiries in a professional manner; process reimbursements, invoices, and vendor packets, and other documentation for the office; creates, letters, memos, statistical and budget reports; create and enter data into spreadsheets and databases; responsible for monitoring, ordering, and stocking all GME office supplies; works with the GME Manager to ensure all necessary items are ordered and received; maintains the resident lounge and ensures all items are well stocked and the area is clean; creates and runs reports and provides statistical data as required by the individual residency programs; other duties as assigned.

  • Working knowledge of Microsoft Word, Excel, Outlook, and PowerPoint.
  • Ability to handle sensitive information with absolute confidentiality.
  • Ability to work collaboratively and solve complex issues across various health system departments.

Qualifications & Experience


Essential:

  • Bachelor Degree
Essential:

  • Business, Education, Health Care Administration, or related field

Other information:
Experience Essential:
  • Three to four years of progressively more responsible related administrative, business leadership, or project management experience.

Experience Preferred:
  • Minimum two years experience in business or higher education work environment strongly preferred.
