$17.82 to $20.05 per hour (Note: The hourly rate will commensurate based on education and occupational experience).

SHIFT: Day/evening/weekend hours | Flexible based upon the needs of the College

LOCATION: Lakeshore College – Cleveland, Wisconsin

POSITION SUMMARY: Responsible and accountable for the fixed asset system. Responsible for capital projects fund budgeting and processing budget transfers. Responsible for creating, validating, and sending out purchase orders. Assist Grants and Budget Accountant with grant accounting and grant budget activities. Provide an exceptional customer service experience to both internal and external customers throughout every interaction.

ESSENTIAL JOB FUNCTIONS (Other duties may be assigned):

(45%) Capital Equipment Accounting and Budgeting

  • Responsible and accountable for the fixed asset accounting system and the capital project fund budgeting process for the college.
  • Process, verify, maintain, and reconcile the fixed asset subsystem with the general ledger, analyze and resolve variances within accounts and funds.
  • Analyze and reconcile fixed asset financial reports.
  • Conduct periodic physical inventory by division/department of fixed assets and resolve any discrepancies.
  • Assist budget managers in the capital budgeting process.
  • Create reports and analyze variances found in capital budgeting.
  • Monitor equipment purchases for correct accounting standards and assist budget managers as needed.
  • Maintain budget spreadsheets for tracking purchases and budget transfers.
  • Validate and process budget entries and transfers.
  • Approve all assets disposal requests before assets are offered for sale or scrapped.
  • Assist with asset sales as needed.
  • Reconcile disposal forms, sales proceeds, and equipment inventory.
  • Assist Director of Facilities with tracking construction projects budgets and payments.

(35%) Grant Accounting

  • Post budget journals and transfers. Prepare budget modifications. Reconcile budget activity.
  • Prepare monthly grant claims reports; gather information for claim disputes and resolve.
  • Track and reconcile grant receivables.
  • Perform internal audit of grant expenditures and prepare information for annual Single Audit.
  • Act as fiscal agent for other grants, monitor grant activity and prepare information for these claims.
  • Post, reconcile and balance transactions in general ledger system.

(10%) Purchasing Order Processing

  • Enter and reconcile purchase orders daily.
  • Verify the accuracy of purchase order request information including accounting strings.
  • Close completed purchase orders daily.
  • Validate and reconcile year end encumbrances for all funds.

(10%) General Duties

  • Develop and maintain accounting procedures for all functions of position.
  • Perform all necessary testing for program changes in computerized systems and for all participants of fixes, patches, and upgrades.
  • Coordinate work with other ERP staff and solve problems or issues.
  • Prepare reports and reconciliation(s) for auditors.
  • Responsible for other accounting duties and back up as assigned.

EDUCATION AND EXPERIENCE

  • Associate degree from a regionally accredited college or university in a related discipline required.
  • Two to three years of related occupational experience required.
