JOB DESCRIPTION:
Primary Purpose: To assist in maintaining a thorough record system of students and their achievement.
RESPONSIBILITIES:
Major Responsibilities and Duties
The registrar clerk will assist the registrar in the following duties:
- Maintain accurate and up-to-date files which have to do with grade reporting, official transcripts, transcript evaluation, and other necessary pupil information.
- Computerized enrollment of students:
- Establish zone location and appropriateness of student’s previous school records for school district enrollment.
- Prepare and maintain guardianship papers for students not residing with parents in the school district. Change address, telephone number and parent information when needed.
- Diploma list:
- Verify correct name spelling with each senior.
- Type and send official diploma list to company preparing diplomas.
- Check diplomas for accuracy upon arrival.
- Disperse diplomas to students who do not graduate as appropriate requirements are completed.
- Senior caps and gowns:
- Help those students who do not order when company is at school taking orders.
- Withdraw students (on paper and in the computer). Send transcript, test, and health records on request of entering school.
- Send transcripts for students and former students as requested for college entrance or job application.
- Make and prepare new student folders including reviewing documents for all incoming freshmen.
- Prepare enrollment verification forms for the Department of Public Safety and Education Verification agencies.
- Work closely with the counselors, keeping them informed about students’ records and situations.
- Attendance at work is an essential function.
- Other duties as assigned by the supervisor or designee.

QUALIFICATIONS:
Minimum Education/Certification:
- High school diploma or G.E.D.
- 30 credited college hours OR five years of experience as a secretary or similar office experience preferred
Special Knowledge/Skills:
- Working knowledge of general office procedures and office machines
- Reasonable degree of proficiency in typing, data entry, and word processing
- Ability to greet the public both in person and by telephone
OTHER INFORMATION:
Equipment Used: Computer, printer, copier and other common office equipment. Working Conditions: Mental/Physical Demands/Environmental Factors: Moderate lifting and carrying (15-44 pounds), reaching above shoulders, use of fingers, walking (intermittent), specific visual requirements (using computer), specific hearing requirements (phone conversations).
