Job Description:
JOB SUMMARY
Coordinates administration of the PA Medi program and Medicare D services as well as volunteer programs including office volunteers, and special volunteer projects.
REPORTING RELATIONSHIPS
This employee reports to and has frequent contact with the supervisor concerning the PA Medi program and volunteer related issues and other work assignments.Â
Supervisory meetings are held monthly to review workload and discuss specific assignments, issues, and employee matters.Â
Performance is also evaluated indirectly by observing this staff’s interaction with volunteers and consumers, ability to interpret policy and procedures appropriately, and attainment of program goals.
Formal appraisals are conducted according to the County’s Performance Appraisal System annually.
This employee provides oversight and guidance to the PA Medi and agency volunteers through observation, daily contact, and group meetings as needed.
ESSENTIAL JOB FUNCTIONS
Coordinates administration of the PA Medi program including recruitment, training, and supervision of up to fifteen (15) PA Medi and office volunteers, interpreting and communicating to consumers complex insurance information in relatable terms to ensure understanding, serving walk-in and scheduled appointments, and completion of reports to maintain compliance with State procedures and assist with consumers' beneficiary appeals. (70%)
Administers volunteer programs, including agency volunteers and coordinating special volunteer projects. (10%)
Maintains an extensive database of consumers and volunteers and produces monthly volunteer service reports. (5%)
Responsible for all implementation of the Medicare Annual Open Enrollment process, including securing volunteers, securing satellite locations in the community for open enrollment events, setting up computers and printers at the community open enrollment event sites, training, and providing support to volunteers to complete the Medicare open enrollments process. (5%)
Responsible for volunteer recognition and handling all aspects of public relations regarding the volunteer unit. (5%)
Develops all promotional material for volunteer services, including brochures and educational presentations for the community, etc. (5%)
OTHER SPECIFIC TASKS OR DUTIES
Creatively develops new volunteer programs to meet both consumer and staff needs as they arise.
Maintain and develop relationships with community and health care partners.
Represents agency regarding The PA Link Aging and Disability Resource Center (ADRC) meetings and activity.
Performs other duties as assigned.
MINIMUM QUALIFICATIONSÂ
One year of experience as a Volunteer Resources Coordinator Trainee
Two years of experience in volunteer resources administration
A bachelor's degree
Any combination of experience and training which provides the required knowledges, skills, and abilities.
KNOWLEDGE, SKILLS AND ABILITIES
Demonstrates good interpersonal skills when interacting with consumers and other agency staff.
Familiarity with knowledge of aging related programs.
Ability to understand and anticipate consumer wants and resolve needs.
Works alone or with others as needed to accomplish unit goals and objectives.
REQUIRED LICENSES/CERTIFICATIONS/CLEARANCES
Reference checks from a minimum of three professional references
Must pass pre-employment drug screening test
Must pass pre-employment driver records screening
Must pass criminal background checks
PHYSICAL REQUIREMENTS/WORK ENVIRONMENT
Work is primarily sedentary in nature. Requires the ability to sit for extended periods of time to answer telephone calls.
Also uses a computer key board and mouse for data search and entry. Infrequent bending and stretching to file documentation
This position has been identified as having the potential for exposure to Hepatitis B. Access to training and a voluntary vaccination against Hepatitis B is provided.
