What You Will Do
You will be responsible for ensuring the smooth and efficient administrative operation of Lancium’s Newport Beach office. This includes managing day-to-day administrative tasks such as answering the phones and intercom system, coordinating meetings, and managing office supplies. This role often involves liaising with guests, vendors, building staff, and other departments within Lancium, both in California and at other facilities, to ensure that the office runs efficiently. Strong organizational, communication, and multitasking skills are essential for this role. Additional duties often include:
- Greet and direct visitors, ensuring they are promptly attended to. Assist in maintaining cleanliness and organization of the office environment.
- Answer direct phone calls, take messages, and respond to inquiries. Handle incoming and outgoing mail, packages, and deliveries.
- Assist with customer inquiries and direct them to the appropriate department or person.
- Coordinate with vendors for purchasing office supplies, equipment, and building management service.
- Oversee vendor services such as janitorial and rental plant maintenance to ensure proper execution.
- Report and address general maintenance needs, such as light bulbs, AC issues, and equipment repairs (e.g., computers, printers, phones, coffee machines, dishwasher).
- Provide general support to staff, including assisting with routine tasks and special projects.

- Bachelor’s degree or equivalent; additional education or certification in office administration is a plus.
- A minimum of 2-3 years of experience working in an administrative or office support role is preferred.
- Strong communication skills (both verbal and written).
- Proficient in MS Office (Word, Excel, PowerPoint, Outlook).
- Ability to handle sensitive and confidential information with discretion.
- Friendly, approachable, and professional demeanor.
