Are you a detail-driven professional who thrives in a collaborative environment? Do you have a knack for contract management, invoicing, and collections? We’re looking for an organized and proactive Accounts Receivable and Contract Administrator to take charge of these critical functions.
Responsibilities:
Contract Management
- Collaborate with the sales team to review and manage maintenance and construction contracts.
- Coordinate with internal teams, vendors, and clients to resolve contract-related issues.
- Ensure all contract documentation is accurate and up to date.
Invoicing & Reporting
- Prepare and process invoices, including prevailing wage invoices and reporting in compliance with regulations.
- Work closely with accounting and project management teams to ensure accurate billing.
Collections & Accounts Receivables
- Monitor outstanding invoices and follow up on overdue accounts.
- Implement effective collection strategies to reduce outstanding balances.
General Administrative Support
- Support our construction team through process administration, including time entry, takeoffs, scheduling, and organization.
- Support our Sales team through process administration, including creating estimates and proposal packages.
- Special projects as assigned (i.e. process improvement and documentation)
Qualifications & Requirements:
- Proven experience in contract administration, preferably in maintenance and construction industries.
- Knowledge of prevailing wage laws and related invoicing/reporting.
- Strong understanding of accounts receivable and collections processes.
- Proficiency in accounting software (QuickBooks) and contract management systems.
- Excellent communication and problem-solving skills.
- Strong attention to detail and ability to manage multiple projects simultaneously.
- An AA degree, bachelor’s degree in business administration, accounting, or a related field is preferred.
