We are seeking a motivated and detail-oriented Administrative Assistant to join our team. The ideal candidate will play a crucial role in supporting daily operations and ensuring efficient administrative processes. This position requires strong organizational skills, excellent communication abilities, and a proactive approach to problem-solving.
Duties
- Provide exceptional customer support by addressing inquiries and resolving issues in a timely manner.
- Manage and organize files, ensuring all documents are accurately categorized and easily accessible.
- Assist with the preparation of reports, presentations, and correspondence as needed.
- Perform proofreading tasks to ensure accuracy and professionalism in all written materials.
- Maintain office supplies inventory and place orders as necessary to ensure smooth operations.
- Support the team with various administrative tasks, including scheduling meetings, managing calendars
- Collaborate with other employees
Skills
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software applications.
- Excellent organizational skills with the ability to manage multiple tasks effectively.
- Strong proofreading abilities to ensure high-quality documentation.
- Experience in customer support roles is advantageous for effective client interaction.
- Ability to work independently as well as part of a team, demonstrating flexibility and adaptability in a fast-paced environment.
This is an in-person position at our office located at 316 S. Main St. Mansfield, Texas from 8:30 am to 5:00 pm with a 30 minute lunch break. The Administrative Assistant position is a W-2, employee position with 7 days of annual paid vacation. Our office is closed on federal banking holidays that are paid as well. We are a small property management company focused on growth of our company.
The starting pay is $20/ hour with a bonus structure of up to $10,000 for the first year. We do not offer health or medical insurance.
Monthly-
- Verify all receivables are logged and showing properly
- Finalize owner monthly financial reports
- Create the owner distribution report based on income to receivables
- Email owner monthly reports to them
Weekly-
- Create social media posts and graphics for the week ahead
- Schedule/post content on Facebook & Google business page
- Send end of week updates for available properties to owners
- Input accounts receivable, log invoices, notify owners of any expenditures in real time
Daily-
- Answer phones
- Respond to online inquiries
- Tell new customers about our services and book appointments for them to speak with a property manager, if needed
- Data input
- Processing in new listings
- Processing applications on available properties
- Filling out lease agreements and addenda
- Follow systems and processes, improving them as you go; make record of any new changes in standards
- Scheduling walk throughs for tenants and property managers; maintaining the property manager’s schedule
- Coordinating and schedule repairs for work order notifications; logging all activity, invoices in our system
- Send preliminary information to property owners who are considering hiring us
- Communicate written updates to property owners as well as tenants
