Executive Assistant

A  well-established company in Pensacola  needs a full-time  executive assistant  to join their team. This is an  excellent opportunity  for someone who wants to join a  supportive and positive work environment  and start a career with this company.

Job Responsibilities :

  • Assist CEO with internal and external organization communication; make contacts and arrangements as directed; work with CEO and Director of Quality Improvement to develop and implement short-term tasks to support administration, organization, and communication systems for an organization.
  • Assist with maintenance of organization files and records, including completion of the organization licensure application, contract compliance, and other needs as assigned.
  • Assist with administration of training files and database, participant registration, and compliance with regulations.
  • Maintain schedule of Board activities and meeting records; develop Board minutes, arrange approval from Board Secretary and CEO and distribute to Board; develop and distribute supporting materials for the meeting.
  • Initiate Board notifications; contact Board members regarding special events and meetings.
  • Assist with Board meeting set-up; arrange committee meetings; coordinate Board and Staff luncheon.
  • Communicate and work collaboratively with administrative team members and communicate regularly with the supervisor on program / organization needs and issues.
  • Complete administrative duties, including but not limited to email and telephone correspondence, telephone and web conferences, and full required documentation, reports and time sheets accurately and on time.

Qualifications :

  • High school diploma with two (2) years of relevant administrative experience and office management training.
  • Excellent communication and proofreading skills.
  • Proficiency in Microsoft Office and other tech-related tasks.
  • Experience in coordinating logistics and recording minutes of organization meetings.
  • Non-profit and / or social services industry experience.
  • Compensation & Benefits :
