As the Accounts Payable Specialist, you will join a winning team supported by highly skilled landscape designers, architects, project managers, and masons.
To be successful in this role you are experienced working in an office setting supporting the accounts payable functions including reporting, reconciliations, and receptionist duties. In addition, you are comfortable working independently and also in a team environment where you will interact daily with staff, outside vendors, and subcontractors. You seamlessly navigate changing priorities and successfully meet time sensitive deadlines.
Essential Job Duties and Responsibilities:
- Responsible for processing accounts payable transactions; ensuring vendor invoices are accurately charged.
- Coordinates approval of Accounts Payable invoices for the check run.
- Responsible for week ending Accounts Payable reports provided to the Office Manager.
- Assists with subcontractors to ensure all COI are current and up to date with job timeframes.
- Performs weekly input of construction time sheets of ongoing and current jobs.
- Performs weekly input of maintenance visits.
- Performs job cost reports calculating labor and job materials used.
- Performs weekly payments of recurring bills, monthly loans, and utility bills.
- Provides assistance with payroll.
- Provides assistance when needed with accounts receivable deposits, and credit card payments.
- Records and reports on unemployment claims.
- Performs various reconciliation functions including credit card statements and garden center invoices.
- Generates periodic reports for the company’s accountant.
- Answers incoming calls, directs calls, and takes messages where needed.
- Responds to and greets customers, vendors, guests and notifies parties of their arrival.
- Orders office supplies and maintains inventories.
- Assists with creating maintenance and construction proposals when necessary for designers and owners.
- Other duties and responsibilities as determined by management.
Education and Work Experience:
- College degree in business or related concentration preferred; or related and equivalent work experience considered.
- 4 years accounts payable experience in busy office setting.
Required Technical and Office Skills:
- Expertise in Accounts Payables functions, transactions, and related systems
- Expertise in QuickBooks, Microsoft Office Suite (Excel, Word, Outlook)
- Superior Office Phone Systems skills
