Job Summary:
We are seeking a detail-oriented and proactive Office Manager to oversee administrative operations and ensure seamless experience for both clients and team members. The ideal candidate will manage essential office functions, customer service interactions, and administrative processes while supporting the growth and success of our business.
Key Responsibilities:
Customer Service
- Phone and Voicemail Management: Professionally manage incoming phone calls and voicemails, ensuring prompt and courteous responses to inquiries.
- Email Correspondence: Respond to customer emails, addressing inquiries, escalating issues when necessary, and maintaining thorough records of communications.
- Customer Relationship Management: Ensure client satisfaction by following up on inquiries, resolving complaints, and providing information on services.
Office Administration
- Data Management: Maintain accurate and up-to-date information in CRM systems (Aspire) and occasionally in QuickBooks.
- Scheduling and Coordination: Manage calendars, appointments, and internal schedules to ensure efficient workflows.
- Task Management: Track, coordinate, and follow up on assignments and projects to ensure timely completion.
- Vendor and Inventory Management: Oversee inventory records, process purchase orders, coordinate vendor relations, and manage Amazon orders.
- Payroll: Oversee payroll processing and ensure accurate record-keeping for all employees.
Documentation and Process Improvement
- SOP Development: Create, update, and maintain Standard Operating Procedures (SOPs) to support operational consistency.
- File and Record Organization: Organize and maintain electronic and physical files, ensuring accessibility and compliance with company policies.
Team and Operational Support
- Meeting Preparation: Prepare agendas, record meeting minutes, and track action items.
- Office Oversight: Manage office supplies, equipment, and resources to support daily operations.
- Communication Hub: Serve as the main point of contact for team members, clients, and external vendors.
Work Hours:
- Start Time: The workday begins promptly at 7:00 AM each day.
- Flexibility: End times are adaptable based on workload and priorities, offering a degree of scheduling flexibility.
- Remote Work Options: Certain tasks or days may be performed remotely, depending on business needs and individual responsibilities.
Required Skills and Qualifications:
- Experience: At least 5 years of experience in office management or a similar administrative role.
- Customer Service Expertise: Proven ability to deliver excellent customer service with a patient, empathetic, and professional demeanor.
- Communication Skills: Excellent verbal and written communication skills; phone etiquette is essential.
- Tech Proficiency: Experience using CRM systems (Aspire preferred), QuickBooks, and office tools like Microsoft Office or Google Workspace.
- Organizational Skills: Strong ability to prioritize tasks, multitask, and meet deadlines with high accuracy.
- Problem-Solving Skills: Analytical mindset with the ability to troubleshoot issues and implement effective solutions.
