Key Responsibilities:
- Provide general administrative support to the management team and staff.
- Handle phone calls, emails, and correspondence in a professional and timely manner.
- Schedule and coordinate meetings, appointments, and travel arrangements.
- Organize and maintain files, both physical and digital, ensuring easy access to information.
- Prepare and proofread documents, reports, and presentations.
- Assist with basic HR functions, such as maintaining employee records, onboarding new hires and employee relations.
- Assist in processing vendor invoices, ensuring accurate record-keeping.
- Assist in tracking outstanding payments, issuing invoices, and following up on overdue accounts.
- Manage office supplies and inventory, placing orders as needed.
- Perform general office duties, including filing, scanning, and data entry.
- Collaborate with other departments to ensure smooth and efficient office operations.
- Handle confidential information with the utmost discretion and professionalism.
Qualifications:
- High school diploma or equivalent required; Associate’s degree or higher preferred.
- Proven experience as an administrative assistant or in a similar role.
- Strong organizational and multitasking skills, with the ability to prioritize tasks effectively.
- Excellent written and verbal communication skills.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office software.
- Ability to work independently and as part of a team.
- Strong attention to detail and problem-solving skills.
- Positive attitude and a proactive approach to tasks.
- Knowledge of office management systems and procedures is a plus.
