At Lange Animal Hospital, we are dedicated to providing the highest quality veterinary care to pets in the Knoxville community. Our skilled and compassionate team works together to ensure our patients receive the best medical attention while offering unparalleled customer service to our clients. We are looking for a friendly, organized, and professional Veterinary Receptionist to join our team. This is an exciting opportunity for someone who loves working with animals and people, enjoys multitasking, and thrives in a fast-paced, team-oriented environment.

Schedule: Monday-Friday with rotating Saturdays to support business needs.

Monday-Friday: 7:30a - 12:00p and 1:00p - 6:00p. Closed daily from 12:00p-1:00p for lunch.
Saturday's: 8a - 12:00p
Sunday's: CLOSED

Key Responsibilities

As a Veterinary Receptionist at Lange Animal Hospital, you will be an integral part of the team, providing essential support to our veterinary staff and exceptional service to our clients. Your responsibilities will include, but are not limited to:



  • Client Interaction & Customer Service:



    • Greet clients and their pets with a friendly, professional demeanor as they arrive.

    • Answer phone calls, schedule appointments, and assist clients with general inquiries about services, fees, and procedures.

    • Handle client concerns in a calm, empathetic manner, ensuring they feel heard and valued.

    • Process payments, including insurance claims, and ensure proper documentation of financial transactions.






  • Appointment Scheduling & Communication:



    • Efficiently manage and schedule appointments to maintain smooth operations and minimize wait times.

    • Remind clients of upcoming appointments and follow up with those who have missed appointments.

    • Communicate with clients via phone, email, and in person to provide appointment reminders, confirm schedules, and relay information as needed.






  • Record Keeping & Data Entry:



    • Maintain accurate, up-to-date patient records using our Electronic Medical Records (EMR) system.

    • File and organize patient charts, ensuring client and patient information is updated correctly and consistently.

    • Assist with client intake forms, updating medical histories, and preparing new client files.






  • Administrative Support:



    • Assist with general office tasks, including sorting mail, managing office supplies, and handling faxes, emails, and scanned documents.

    • Ensure the reception area remains clean, organized, and stocked with appropriate client forms, brochures, and educational materials.

    • Provide administrative support for veterinary staff as needed, ensuring a smooth workflow throughout the day.






  • Billing & Payments:



    • Accurately process payments for veterinary services, ensuring all charges are recorded in the system.

    • Assist clients with billing questions, payment plans, and financial policies.

    • Help clients with insurance claims and payment processing as required.







Qualities & Skills We Are Looking For

We are looking for a Veterinary Receptionist who can multitask efficiently, is friendly, organized, and thrives in a fast-paced environment. The ideal candidate will possess the following qualities:


  • Customer-Centered Attitude: Friendly, compassionate, and professional when interacting with clients and their pets. Able to remain calm and helpful under pressure.


  • Strong Communication Skills: Excellent verbal and written communication skills with a focus on clear, friendly, and informative interactions.


  • Attention to Detail: Highly organized with a strong ability to multitask and manage several responsibilities at once while maintaining accuracy.


  • Technology Proficiency: Comfortable with office software and technology, including Electronic Medical Records (EMR) systems and scheduling software. Experience with veterinary software is a plus but not required.


  • Team-Oriented: A cooperative team player who enjoys working alongside veterinarians, technicians, and other support staff.


  • Empathy & Compassion: A genuine love for animals and a compassionate approach to clients, especially when dealing with difficult situations.


  • Adaptability: Ability to handle a variety of tasks in a dynamic, busy environment, and adapt quickly to changing demands.


Qualifications & Previous Work Experience:


  • Prior Experience: Previous experience as a Veterinary Receptionist or in a clinical setting is highly preferred, though candidates with hospital clerical experience will also be considered.


  • Education: A high school diploma or equivalent is required. Additional certifications in veterinary administration or office management are a plus.


  • Veterinary Knowledge: Familiarity with animal care or medical terminology is a bonus, but not required. We are happy to provide training for the right candidate.


  • Customer Service Experience: Proven experience in a customer-facing role, particularly in a medical, veterinary, or clinical setting.


  • Physical Requirements: Ability to remain seated or stand for long periods and move throughout the reception area as needed. Comfortable handling pets in a hospital environment.
