Job Purpose:
The Purchasing and Compliance Coordinator is a key player in keeping our production running smoothly and our labels compliant. You'll ensure timely procurement of dry goods to support bottling schedules, keep a keen eye on inventory levels, and help us stay aligned with COGS expectations. You'll negotiate with suppliers, manage federal wine label requirements, and work alongside Marketing to keep our wine bottles as compliant as they are beautiful.
What You’ll Be Doing:
Purchasing & Inventory Coordination
- Place purchase orders for indirect and direct materials based on forecasts and production schedules.
- Monitor open POs to ensure on-time delivery. Think of yourself as our timeline superhero!
- Adjust orders in response to changes in production schedules or inventory levels.
- Keep inventory healthy by analyzing demand, lead times, and forecasts.
- Coordinate materials through product changes, new launches, and obsolescence.
- Partner with suppliers to resolve order issues, returns, and quality concerns.
- Ensure all materials meet quality specs and bottling standards.
- Maintain material master data: MOQs, lead times, safety stock levels, etc.
- Be the go-to support for our supply chain teammates, from shipping to receiving.
- Collaborate cross-functionally to solve supply challenges and offer alternatives.
- Build and maintain strong supplier relationships focused on performance and value.
- Uphold company procurement policies and ensure compliance.
- Conduct research and issue RFQs, RFIs, and RFPs to support supplier selection.
- Partner with Finance to negotiate terms and drive cost-effective agreements.
- Track and analyze inventory metrics to identify trends and areas for improvement.
- Work with the Logistics/Inventory Lead to keep inventory records accurate.
- Be open to tackling other duties as needed. flexibility is key!
Sales Compliance & Regulatory Support
- Manage and renew winery licenses to maintain operational compliance.
- Prepare and submit Federal Label Approvals (COLAs) through the TTB.
- Submit label audits for CSWA certification and maintain documentation.
- Research and guide the team on label regulations for domestic & international markets, nutrition, ingredients, and all that good stuff.
- Maintain detailed files, spreadsheets, and records for all things compliance-related.
- Manage the compliance inbox, fielding inquiries with professionalism and promptness.
What We’re Looking For:
Qualifications
- Bachelor’s degree in Business Administration, Supply Chain Management, or a related field or equivalent work experience.
- 5 years of experience in Purchasing and Supplier Management is a huge plus.
- Strong negotiation skills with a track record of driving cost savings.
- Proven analytical and problem-solving abilities, especially in supplier and inventory challenges.
- Solid understanding of how material costs impact COGS.
- Experience creating purchasing policies, best practices, and procurement strategies.
- Solution-oriented and highly collaborative. You're a team player who keeps things moving.
- Professional and clear communicator, both written and verbal.
- Comfortable presenting in group settings and leading discussions.
- Strong interpersonal skills rooted in integrity, trust, and ethical business conduct.
- Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook.
