Lanphere Enterprises has an immediate need for an experienced Document Management Department Manager to lead our document management and scanning operations at our established automotive dealership family. This role requires a highly organized and detail-oriented individual to oversee the scanning, organizing, and storing of critical documents for our five dealerships, auto body center, and auto spa. You will work with multiple systems such as Columbiasoft’s DocLocator, Sequel, Microsoft Office and more, ensuring data compliance and streamlining processes. You will be responsible for ensuring the department’s success and compliance with relevant industry regulations. KEY RESPONSIBILITIES
Manage the Document Scanning Team: Supervise a team of scanning specialists and ensure productivity and quality standards are met
Data Compliance: Ensure all scanned documents and records are compliant with automotive industry regulations and dealership standards, including data security and retention
System Management: Oversee the operation and maintenance of our existing Columbiasoft DocLocator management system. Troubleshoot and resolve any technical issues
Process Optimization: Continuously improve scanning workflows, documentation processes, and data storage strategies to improve efficiency and ensure the accuracy of digital records
Document Security: Ensure documents are securely stored, managed, and backed up to protect against data loss or unauthorized access
Training & Development: Train and develop staff on document management practices, best practices for scanning and compliance, and system usage
Quality Control: Monitor the quality of scanned documents and ensure they are legible, accurately named, and properly indexed for easy retrieval
Collaboration: Work closely with other departments to streamline document workflows and ensure that critical records are easily accessible when needed
WHAT WE ARE LOOKING FOR
Experience:
Minimum 3-5 years of experience managing a document scanning department or similar role, preferably in the automotive dealership industry
Automotive dealership industry experience, including knowledge of specific documentation requirements (e.g., vehicle titles, finance documents, service records) is preferred
Hands-on experience with document management software systems (preferably Columbiasoft DocLocator)
Strong understanding of data compliance regulations and industry standards, particularly within the automotive or dealership sector
Technical Skills:
Proficient in document scanning and digital archiving processes
Familiarity with document management software customization and maintenance
Experience working with cloud storage and data backup solutions
Leadership:
Strong leadership skills with experience managing a team
Ability to develop and implement training programs for staff
Detail-Oriented: Strong attention to detail to ensure accuracy in scanning, indexing, and compliance
Communication Skills: Excellent written and verbal communication skills for effective interaction with staff and other departments
Certifications related to data compliance, document management, or information governance are a plus
