MIDDLE OFFICE ASSOCIATE
(On-site position | Monday to Friday | Office-based role only)
Reporting directly to the Operations Manager, the Middle Office Associate is in charge of keeping core systems with up-to-date client’s data and producing reports to support Relationship Managers.
Key Duties and Responsibilities:
· Operate and maintain core business systems such as Addepar (data aggregation and reporting system) and Practifi (CRM system);
· Organize data to produce client statements and analytical reports;
· Contribute to the development and implementation of the firm's policies and procedures, including compliance-related operational tasks;
· Perform operational tasks such as bill payments, document processing, and preparation of information for accountants and other providers;
· Organize and maintain company files in the cloud;
· Prepare documents and presentations for clients;
· Ensure diligence, execution, and monitoring of middle-office activities related to client onboarding and services;
· Assess organizational readiness for product and technology rollouts, monitor changes, and mitigate client impact and business risks;
· Support the organization and Chief Compliance Officer (CCO) with compliance tasks such as KYC, ensuring all records are properly documented and easily accessible;
· Manage office operations, including purchasing supplies, coordinating with vendors, maintaining office functionality, handling building management relations, and overseeing reception and delivery services;
· Support the full trade flow lifecycle, from capture to settlement, as well as any necessary corrections.
Profile
· Bachelor's degree in Business, Finance, or Economics;
· At least 3 years of successful professional experience in a similar role (private banking or broker-dealer industry);
· Strong analytical skills;
· Proficient in data management and data systems;
· Client-oriented mindset with a proactive problem-solving attitude;
· Ability to multitask and apply critical thinking;
· Excellent organizational skills, with a strong sense of priorities and attention to detail;
· Solid Microsoft Office skills, particularly in Excel;
· Fluent in English and Portuguese; Spanish is a plus.
