The Staff Accountant-Development reports to the Director of Development and is responsible for assisting the Development Office in the maintenance of the College’s accounting systems and internal controls to provide accountability and reporting for restricted funds including grant/donations, endowment funds, and scholarship funds.
Characteristic Duties and Responsibilities
- Work with Director of Restricted Grants to record and track all incoming donations, grants and endowments in accordance with donor intent; and maintain accurate records of all foundation, donation and scholarship funds and establish and maintain separate accounting funds for each award to maintain fiscal integrity and to monitor cash requirements, actual expenditures, and budget availability of individual restricted funds.
- Work with Director of Restricted Grants to reconcile donation accounts and ensure proper classification of expenses from restricted/unrestricted funds in the general ledger and the financial statements.
- Process event related revenues and expenses, ensuring proper classification.
- Assist the Director of Development in budgeting, tracking, and reporting fundraising and donor appreciation events and manage donor acknowledgements.
- Ensure compliance with IRS regulations and nonprofit accounting best practices for gift processing.
- Monitor requisitions and other inter-fund expenditures for unrestricted/restricted funds, fund balances, donor restrictions, and endowment distributions to ensure proper utilization.
- Maintain records of awarded scholarships and track fund availability.
- Responsible for filing monthly, quarterly, and annual reports for all endowments, scholarship and Foundation grants to ensure timely expenditure of restricted funds.
- Advise Director of Development of the funds financial position and suggest budget revisions if applicable to ensure restricted funds are spent as per contract/grant agreements; maintaining compliance with donor agreements and institutional policies regarding scholarship usage.
- Work with director of restricted grants to develop budget reports and make projections of expenditures for restricted funds so that appropriate actions are taken by Director of Development.
- Conclude all fiscal activities and preparation of the annual department budget.
- Assist the Director of Development in preparing the annual scholarship budget and/or any other item needing approval by the Board of Trustees.
- Assist in the development of reports for analysis of department balance sheet accounts such as cash, inter-fund, liabilities, missing fund accounts.
- Assist in the development of reports to strengthen internal controls and financial reporting on scholarship, endowments, grants and foundation information.
- Work with director of restricted grants with developing and improving internal controls and accounting procedures to safeguard the College’s assets and financial information.
- Verify the accuracy and integrity of data provided from information generated by the Banner System.
- Work with director of restricted grants to prepare year-end supporting information, provide the necessary records and explanations, and financial statements for the College’s year-end audit.
- Performs all other duties as assigned by the Director of Development and the Vice-President of Institutional Advancement with the utmost confidentiality as most activities and transactions of the office are of sensitive and confidential nature.

Required:
- Bachelor’s degree in Accounting or related field with at least 18 credit hours in accounting.
- One to two years of work experience in an accounting-related position.
- Must have a valid Driver’s License and current car insurance to travel as required. In accordance with CJ (Local) while driving on College District business, employees are required to abide by all applicable laws, rules, regulations ordinances, policies, and procedures.
- Experience in governmental accounting.
- A professional disposition is required at all times.
- Bilingual (English and Spanish) preferred.
- Strong customer service and community relations skills.
- Ability to use personal computer and various word processing and spreadsheet software programs which includes MS Office Suite, Zoom, TEAMS, One Drive, Google Drive and the internet to promote efficiency.
- Must be able to multi-task with attention to detail and complete tasks within stated deadlines.
- Must be able to adapt and work well under pressure.
