Position Overview:
The Accounting Coordinator will work under the direct supervision of the Corporate Controller and collaborate closely with the Billing & Operations Coordinator to ensure the smooth handling of financial and administrative tasks. This role is essential in maintaining accurate financial records, managing billing processes, and supporting overall office operations.
Key Responsibilities:Accounting & Billing:
- Enter vendor invoices into QuickBooks with accuracy and attention to detail.
- Verify due dates on vendor invoices and check for duplicate entries in QuickBooks.
- Assist in billing processes to ensure timely and accurate invoicing.
- Support collections efforts by following up on outstanding payments.
Payroll & Timekeeping:
- Review employee time entries in the timeclock system, identifying missing punches, incorrect job numbers, or excessive shop time.
- Print and prepare timeclock reports for payroll processing.
Administrative Support:
- Answer and direct phone calls professionally, assisting with inquiries as needed.
- Assist with scheduling and coordination of company operations.
- Maintain organized records, including invoices, packing slips, and other financial documents.
Qualifications & Skills:
- Strong experience with QuickBooks or similar accounting software.
- Strong organizational skills and attention to detail.
- Ability to multitask and manage priorities in a fast-paced environment.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office (Word, Excel, Outlook).
- Previous experience in accounting, billing, or administrative roles preferred.

Pay: $20.00 - $25.00 per hour
