Job Summary and Qualifications
POSITION SUMMARY:
Responsible for performing a wide range of clerical duties under the direction and supervision of the Director and/or Manager of Renal Transplant Center. Communicates effectively and professionally with transplant team, physicians, surgeons, patients, families, and other departments.
ESSENTIAL JOB RESONSIBILITIES:
1. Participates in the operational flow of the Transplant clinic.
- Maintains patient appointment schedule in outlook calendar
- Schedules patient appointments and confirms appointments.
- Request patient records for annual post-transplant follow-up visits.
- Prepares charts for post-transplant appointments
- Maintains daily patient filing of charts and reports
- Maintains admission and appointment packets, updating as necessary.
- Updates pertinent patient information into Tracker patient database
- Provides HIM with all documentation required to maintain hospital charts.
- Updates patient management report on a weekly basis and provides a monthly summary.
- In the absence of the Transplant Program Assistants, conducts intakes/inquiries for recipients and living donors.
- Coordinate the patient’s lab orders through the lab and registration departments.
2. Maintains a well-organized and equipped office environment.
- Serves as primary department time keeper for Kronos iSeries
- Maintains the department outlook calendar
- Maintains monthly call schedule for clinical coordinators and distributes to all necessary departments.
- Collects and distributes mail and messages for transplant office.
- Orders all departmental supplies; as well as medical supplies for clinic.
- Maintains departmental communication through the use of hospital telephone, voicemail, and paging systems.
- Coordinates patient management meetings, committee meetings and department conference meetings; schedules the room availability and calendars.
- Orders patient clinical charts as needed for transplant team.
3. Employee’s conduct must reflect the Company’s values and a commitment to the Code of Conduct ethics and compliance program.

5. Other duties as assigned.
What qualifications you will need:
KNOWLEDGE, SKILLS AND ABILITIES:
Must be able to demonstrate understanding of national patient safety initiatives by strict compliance to all safety protocols and procedures as required by both HCA and St. David’s North Austin Medical Center.
EDUCATION AND EXPERIENCE:
Required: High school diploma or equivalent; one year secretarial experience and strong interpersonal skills required; must be handle multiple tasks
Preferred: Knowledge of medical terminology and intermediate computer skills
