Our mission is to provide specialty level care to cats through outstanding customer service, excellent client education, and fear free patient handling in a calm, compassionate manner. We are looking to add a highly skilled and compassionate Veterinary Receptionist to our team to help us deliver top-notch service to our clients and their pets. We plan to open July 2025.
Job Description:
We are looking for a compassionate and highly organized Veterinary Receptionist who is obsessed with cats to join our team. As the first point of contact for our clients, you will play a key role in providing excellent customer service, maintaining office organization, and supporting the veterinary team in delivering quality care to cats and their owners. Key Responsibilities:
Client Service & Communication:
- Greet clients and their cats warmly and professionally.
- Answer phone calls, respond to emails, and handle inquiries related to appointments, services, and general clinic information.
- Schedule and confirm appointments, manage patient records, and update appointment schedules as needed.
- Provide information to clients about clinic services, pricing, and policies.
Administrative Support:
- Manage the clinic’s front desk, including checking in and checking out clients.
- Process client payments, maintain accurate billing records, and handle cash and credit card transactions.
- File and maintain medical records, ensuring all client and pet information is current and confidential.
Clinic Organization:
- Assist in maintaining the clinic’s general cleanliness and organization.
- Monitor and order office and clinic supplies.
Customer Relationship Management:
- Follow up with clients post-visit to check on the health and well-being of their cats.
- Ensure a positive and welcoming atmosphere for clients and their cats.
Team Collaboration:
- Work closely with veterinarians, technicians, and other staff members to ensure smooth clinic operations.
- Assist veterinary staff as needed with administrative tasks and scheduling.
Requirements:
- High school diploma or equivalent (preferred).
- Previous experience in a customer service role, preferably in a veterinary or healthcare setting.
- Basic knowledge of office software (Microsoft Office, Google Suite).
- Ability to multi-task in a fast-paced environment while maintaining a calm demeanor.
- Attention to detail and a strong sense of responsibility.
- Strong communication skills (verbal and written) with an ability to interact with compassion, professionalism and empathy when working with clients and their pets.
- Knowledge of veterinary terminology and procedures (preferred but not required).
- Willingness to handle and restrain cats safely with compassion and respect.
