As the Collections Specialist you will manage a portfolio of business accounts, resolving past-due balances through proactive outreach and collaboration with internal teams and clients. Responsibilities include investigating billing discrepancies, applying payments, and using Excel tools like pivot tables and VLOOKUPs for reporting and analysis.
Collections Specialist Responsibilities:
- Manage a portfolio of business accounts and proactively reach out to clients to resolve outstanding balances
- Research billing issues and payment discrepancies (short/overpayments), ensuring accurate and timely resolution
- Maintain clear documentation of all account activity and client communications to support follow-up and escalation
- Build strong working relationships with both internal teams and client contacts to support timely collections and exceptional service
- Provide regular reporting on account status, risks, and trends to management
- Record and apply customer payments (checks, ACH, wire transfers) accurately and within company timelines
- Support ongoing process improvements to help streamline collection efforts and improve cash flow
- 2 years of B2B collections experience, preferably managing large portfolios ($30M )
- Strong Excel skills, including pivot tables and VLOOKUPs
- Experience with billing, dispute resolution, and payment application
- Excellent verbal and written communication skills with strong attention to detail
- Highly organized, proactive, and capable of working independently
- Bachelor’s degree in accounting, Finance, or Business preferred
