Facilities Service Representative Responsibilities:
- Serve as the primary point of contact between customers and contractors, ensuring high levels of customer satisfaction
- Provide real-time updates to clients on work order status, schedules, and completion details
- Handle customer inquiries, escalations, and service issues with professionalism and urgency
- Receive and process work requests related to handyman, electrical, plumbing, HVAC, and auto paint booth maintenance services
- Assign jobs to approved contractors, ensuring alignment with client service level agreements (SLAs)
- Escalate high-cost work orders (over $1,500) to management for approval
- Track facility management activities using internal work order management systems
- Identify and escalate capital projects or large-scale requests for leadership review
- Assist in resolving invoice discrepancies, ensuring proper documentation for compliance
- Support team training and process improvements to enhance service efficiency
- 2 years of experience as a Facilities Coordinator, Customer Service Representative, or similar role in a call center or facilities setting
- Experience with auto paint booths, spray booths, or similar industrial painting equipment maintenance is highly preferred
- Strong customer service skills with the ability to communicate professionally and manage client expectations
- Knowledge of basic facilities repairs (plumbing, electrical, HVAC) is a plus
- Ability to multi-task and prioritize in a high-volume environment
- Proficiency in Microsoft Office (Excel, Word, Outlook) and work order systems
- Strong attention to detail, problem-solving skills, and ability to work independently
- High school diploma or GED required; college coursework is a plus
