Proposal Coordinator Responsibilities:
- Prepare detailed quote proposals, submittals, and price estimates, including layout drawings, architectural prints, and shop drawings
- Serve as the first point of contact, fostering strong relationships with project managers, estimators, the onsite production team, and Manufacturing Representatives
- Provide guidance to ensure customer inquiries and complaints are handled efficiently and in alignment with company policies
- Deliver prompt customer service, including same-day responses for production orders, ship dates, product specifications, samples, and general inquiries
- Utilize the ERP/CRM system to access and update sales orders and suborders
- Manage the sign-off process and track expedite requests for future orders
- Review shortage lists and other inventory-related information to ensure timely procurement of parts, materials, and supplies
- Oversee orders from receipt to shipment
- Perform administrative and clerical tasks as needed, including general filing and document control
- MUST have at least 2 years of proposal writing experience
- High school diploma or GED equivalent required
- Background in industrial or mechanical fields preferred
- Previous customer service experience, particularly in support of internal sales teams
- Experience in an office setting with administrative responsibilities and the ability to multitask
- Custom or project-based sales experience is preferred
- Proficiency in Microsoft Office applications, including Word, PowerPoint, Excel, and Outlook, along with general PC skills
