Summary: The Executive Assistant, will assist with a variety of administrative and clerical tasks to support the efficient operation of the Organization. This role demands exceptional organizational skills, attention to detail, professional communication skills to interact effectively with community members, staff, board, partners, funders and donors. Maintain discretion and loyalty with confidential information.
This position supports the mission of Latinx by assisting the Executive Director on office and program management tasks. The position is responsible for managing internal and external communication with partners and program participants, as well as developing and enhancing internal policies and procedures to govern successful operations.
Position Duties and Responsibilities include the following. Other duties may be assigned.
1. Manage scheduling for executive director and board of directors and its committees.*
2. Take meeting minutes for staff and board meetings.
3. Draft, review and send communications on behalf of the executive director*
4. Organize and prepare for meetings, including gathering documents and attending to logistics of meetings.
5. Collect and document receipts of transactions for financial procedures and reporting.
6. Maintains accurate records, files, and data systems for reporting measures (e.g., attendance, finances, participant survey data).*
7. Compile data and narrative descriptions for monthly, quarterly, semi-annual, and annual reports.
8. Reviews and submits monthly, quarterly, and/or annual reports as necessary.*

Organizational Duties and Responsibilities include the following.
- Answer incoming phone calls and inquiries, and refer to the appropriate department and/or staff as needed.
- Assists community members with LTCC services in the Resource Center.
- Ensures all services follow the guidelines of LTCC policies and procedures.
- Foster relations with community members and partner organizations to build community support.
- Complete training as required by the organization, program demands, funding streams, and individual development.
- Participate in public relations activities, outreaches, community events, and presentations.
- Participate in fundraising and LTCC community events.
- Assist with scheduling appointments and consultations for resource navigation.
- Other duties as assigned.

- Required Qualifications
- High school diploma or equivalent
- Experience working in a professional office environment
- Essential Function
- Fluency with Google Suites and other common software
- High degree of computer literacy and ability to learn new programs/systems
- Proactive, eager to identify new approaches to improve existing systems
- Willingness to engage with disadvantaged populations
- Must be able to maintain confidentiality of individuals served

- Bookkeeping or accounting experience is preferred
