Accounts Payable Specialist
Reports To: Accounting Supervisor Department: Finance/Accounting
Location: Salinas, CA (On-site) Position Type: Full Time
Shift: 1st shift Hourly Rate: $26.50 - $29.00
Classification: Non-exempt
Position Summary
The Accounts Payable Specialist provides financial, administrative, and clerical support by ensuring payments are completed and expenses are controlled by receiving payments, processing, verifying and reconciling invoices according to established policies and procedures in an efficient, timely and accurate manner.
Required Qualifications
- High School diploma is the minimum requirement
- Associates Degree in Accounting or Finance preferred
- Minimum of 3-5 years of relevant experience required
Desired Qualifications
- Intermediate knowledge of Accounting and Business ERP software systems plus Microsoft applications including Outlook, Adobe Acrobat, Word, Excel, Internet.
- Manufacturing environment experience is preferred.
- Experience in Microsoft Dynamics BC or NAV
- Strong organizational skills and attention to detail
- Excellent communication and interpersonal skills
Responsibilities
- Performs various accounts payable functions, including but not limited to:
- Receive and process vendor invoices daily in ERP system, 3 way-match to purchase order and receipts.
- Process Payments timely (ACH, Transfer, Auto Pays & Checks).
- Process off-cycle vendor payments.
- Reconcile the payment journal to the payment proposal file prior to cutting checks.
- Ensure proper sales & use tax is recorded & paid as required.
- Respond timely to vendor emails or requests and maintain vendor relationship and integrity.
- Maintain accurate vendor information in the ERP system, including the vendor statement reconciliation to the subledger.
- Assist with 1099 process and completion of tax exemption certificates.
- Assist in month end closing, including but not limited to:
- Accounts payable accruals; including reconciliation to the general ledger.
- Participate in completion of the year-end processes including periodic external audits.
- Provide accurate AP information in a timely manner as requested.
- Maintain accurate and thorough documentation, electronic and physical, in accordance with company policy and accepted accounting practices.
- Check mail daily, distribute according to established procedure.
- Other duties as assigned to meet business needs.
